Central Ohio VA Health Care System is seeking for a Lead Medical Support Assistant, GS-7 position with Community Care. The Community Care Lead Medical Support Assistant (MSA) monitors and makes work assignments, provides input on performance, resolves daily workplace issues, and maintains efficient workflow within the Community Care. The incumbent will be expected to be a working member of the assigned team.

Duties
The Lead MSA will be cross trained in other administrative areas/teams of the service and may be assigned to provide coverage as required/necessary. The incumbent will be expected to provide coverage in the absence of any MSA on the assigned team and the Lead MSA must be able to perform all duties as assigned to the team members.
Organizes work, sets priorities, and delegates tasks/responsibilities to meet deadlines. Communicates skillfully with subordinates, peers, and supervisors to obtain the desired effect, while ensuring compliance with established policies and regulations.
Shows courtesy, respect and a positive attitude toward patients, co-workers, and the public. Provides front-line assistance to customers with questions or concerns.
Applies discernment and sensitivity when performing tasks required when resolving issues accurately and timely.
Demonstrates advanced knowledge of administratively staffing clinical and customer service areas.
Utilizes computerized programs and databases to enter, modify and retrieve sensitive information and various data into or from electronic medical records, scheduling systems and/or reporting formats.
Works in a proficient and self-directed manner to accomplish a wide variety of tasks, to include setting priorities and coordinating work.
Incumbent must screen/receive phone calls in a courteous and timely manner, determine the nature of requests and provide the information desired using privacy rules and established clinic processes.
Incumbent develops and maintains effective working relationships with all clinical and administrative staff in determining priorities of activities in support of direct patient care.
Interprets and applies a complex body of pertinent laws, regulations, directives, and policies that relate to the administration of VA healthcare benefits.
Conducts special audits, studies, or surveys to be utilized in the development of procedures, and to assist employees in collecting complete and appropriate data for reporting processes and for generating revenue.

Qualifications

Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education.
Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR,
Education. One year above high school; OR,
Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
Grade Determinations: To qualify for the GS-07 level, you must have one year of experience equivalent to the GS-6 grade level.
Experience at the GS-6 includes but is not limited to: arranging for coverage of all areas of responsibility; distributing and balancing workload; training new employees on duties; certifying employees on scheduling and assignment competencies; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments/consults management; providing refresher training to staff members including changes in policies and procedures; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring that all training requirements are met; organizing the work structure of his/her assigned areas: and acting as liaison between other MSAs and staff in order to resolve day-to-day conflicts.
Demonstrated Knowledge, Skills, and Abilities (KSAs).Candidates must demonstrate all of the knowledge, skills, and abilities below:
Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.
Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.
Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff.
Ability to provide staff development and training.
Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.

The full performance level of this vacancy is GS-7.
Physical Requirements: Position requires visual acuity, adequate auditory perception, clear distinctive speech, and manual dexterity. Position requires extended periods of sitting. The position may require some bending and carrying of items. The incumbent must be a mature, flexible, sensible individual capable of working effectively in stressful situations and able to shift priorities based on patient needs. Must meet Employee Health mandates as a condition of employment.
