The VA Central Ohio Healthcare System is recruiting for a Supervisory Medical Support Assistant to work in the Surgical service.
Duties
Duties include:
Incumbent must possess knowledge of clinic processes and services to function in and interact with various clinics throughout the facility
Employee must have knowledge of and ability to apply policies and procedures associated with operational activities that affect workload data
The incumbent is responsible for assuring accurate appointment management and the coordination of all administrative information between the professional staff and the patient, includes updating and verifying demographic information, scheduling appointments, collecting insurance information, data entry, administratively managing consultation requests and the electronic waiting list, and notifying the patient of his/her scheduled appointment
Must demonstrate technical competency in the use of the VistA and CPRS and Federal Electronic Health Record (EHR) systems
The incumbent orients medical staff to basic administrative policies and procedures dealing with outpatient scheduling and other administrative topic
The incumbent provides administrative support to Physicians, Physician's Assistants, Nurses, Advanced Registered Nurse Practitioners and other administrative and professional staff
The incumbent must provide excellent customer service and must adhere to VA local, National and Service policies and procedures.
Must have knowledge of quality assurance/performance improvement principles and is responsible for assuring these administrative functions are carried out in the performance of their duties
Persons in this position may be required to conduct individual quality assurance/process improvement checks/studies
He/she must be knowledgeable of Joint Commission requirements specific to his or her job; such as patients' rights, emergency preparedness, information security, ethical conduct, and environment of care
Employee must understand how to identify a Joint Commission surveyor and be able to articulate answers to questions they may be asked
The incumbent assists staff with a variety of clerical duties. The incumbent must have knowledge of clinic procedures and regulations; basic medical terminology, skill in operating computer systems and applications, such as VistA, CPRS, Federal Electronic Health Record (EHR) and
Microsoft applications to accurately enter or extract information
Employee performs a variety of administrative functions associated with patient care and treatment in one of several clinics performing a variety of medical services
Employee must acquire knowledge of internal organizational procedures, knowledge of various facility services, knowledge of commonly used medical terminology and abbreviations, and VA acronyms and their meaning
Incumbent must have a thorough knowledge of enrollment, eligibility and beneficiary travel and will assist as a backup for these programs
Work Schedule: 7:30 a.m.-4:00 p.m., Mon-Friday
Telework: Ad-hoc. As needed and per management approval and agency policy.

Physical Requirements: The work is mostly sedentary. It typically requires sitting with sustained periods of concentration. There will be some walking, standing, bending, and carrying of relatively light objects. The position may also require stooping, reaching, lifting, pulling, and other moderate exertion or strain. Incumbent may occasionally have to walk some distance to a meeting.
Qualifications
BASIC REQUIREMENTS.
a. Citizen of the United States.
b. Experience and Education.
Experience. Six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position;
OR, Education. One year above high school;
OR, Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
GS-8 Qualification
Experience. One year of experience equivalent to the [GS-7] grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.
Demonstrated Knowledge, Skills, and Abilities. GS-08 Supervisory MSA must demonstrate the KSAs below:
Ability to provide the full range of administrative and supervisory duties to at least one
subordinate MSA supervisor or team leader in a patient support setting which includes
assignment of work, performance evaluations, selection of staff, and recommendation of awards
and/or advancements.
Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills
with internal and external customers to ensure quality/continuity of care and ensure compliance
with established policies and regulations.
Ability to provide briefings, orientations, staff development, and training in a patient support
setting.
Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget
needs.
Advanced knowledge of managing or leading patient support staff in a clinic. This includes
independently utilizing reference sources, decision making, and empowering the team to
collaborate and resolve problems within a complex systems environment.
