As an Administrative and Program Assistant you will be responsible for various administrative, office automation and support duties for the program Director. You will also be responsible for the accurate tracking and reporting of administrative activities and program accomplishments.

Duties

The duties may include, but are not limited to: Monitors progress of the projects by establishing records of timetables and deadlines and tracking completion. Gathers and evaluates information to prepare a variety of reports. Tabulates, reviews, and evaluates data for performance measurement systems. Maintains databases and tracking spreadsheets for administrative activities. Receives and tracks personnel actions and maintains the organizational charts. Receives visitors and telephone calls using judgment to determine where to refer call or take care of personally. Arranges appointments and conferences for supervisor based on a knowledge of work schedules and prior commitments.

  • Positions hired in Orient Point duty location will require daily travel to and from either Orient Point, New York and Plum Island, or Old Saybrook, Connecticut and Plum Island aboard Government-provided marine vessels.
  • If selected in Orient Point, NY, this position will be relocated from Orient Point, New York, to Manhattan, Kansas, when the finished National Bio-Agro Defense Facility is complete and ready for activity at a future date.

Qualifications

Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement, including specialized experience and/or education, as defined below. FOR THE GS-07 LEVEL: Applicants must have one year of specialized experience (equivalent to the GS-06 level) that may have been obtained in the private or public (local, county, state, Federal) sectors which demonstrates: Operating a personal computer and other office equipment to include good typing (keyboard) skills, experience with Microsoft Office (Word, Excel, PowerPoint, and Outlook), and experience with equipment such as copiers and fax machines. Communicating in writing to include skills such as office receptionist, recording and communicating messages, taking meeting minutes, drafting correspondence, and direct customer contact (via telephone and email) in support of customer service; serving as a subject matter expert on correspondence rules and regulations and provides guidance to other clerical staff. Directing activities for a team approach ensuring that essential functions are fulfilled, working effectively with others to schedule coverage of fundamental duties when one area is short staffed or in the case of absences due to annual leave or illness. Performing time and attendance duties for a group of employees through time and attendance systems. Serving as the subject matter expert on rules and regulations and providing guidance to other clerical staff. Note: There is no education substitution for this grade level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
