This Program Support Assistant position is located at Butler VA Medical Center within the Women's Veteran Program the position is organizationally located in the Chief of Staff service line reporting to the WVPM. The incumbent serves as the Women Veterans PSA for the Women Veterans Program and is knowledgeable regarding philosophies, objectives, and organizational structures within the WVP, all sites of care in the Butler VA, VISN 4, and National VA Women's Services.
Duties
Major Duties:
Prepares briefs for all Designated Women's Health Providers (DWHP) and leadership.
Extracts, analyzes, and organizes data into meaningful reports on gender-specific cancer prevention services and gender-specific disparities.
Tracks clinical endpoints specific to Women Veterans Comprehensive Care.
Manages data streaming for patient notification of due or past due gender specific cancer screening (e.g., breast and cervical cancer).
Aids in monitoring the timeliness of provider notification of test results, per the Healthcare of Women Veterans Directive 1330.01.
Provides relevant clinical and/or administrative data to identify, quantify and resolve organizational problems related to Women Veterans enrollment.
Prepares local reports for Women Veteran Program.
Monitors the V-Signals real-time patient reports of trust, analyzes data for gender differences and trends in women Veterans experiences at VHSO.
Works closely with other departments and women's health liaisons across the health care system including coordination of outsourced healthcare through the Office of Community Care.
Minimizes delays in patient care by assisting Patient Aligned Care Teams (PACT) with record retrieval and follow-up of non-VA prevention healthcare services.
Works closely with the Office of Patient Experience to track patient concerns, satisfaction, and trust.
Provides for the maintenance and updating of report parameters and site-specific files by checking VISTA system clinic and provider setups.
Collaborates with Women Veteran Care Coordinator (WVCC) to evaluate reports from External Peer Review and Quality Management on concurrence with OIG and Joint Commission regulatory practices.
Provides advice and guidance to assist in revisions of operational procedures and clinical processes affecting the Women's Health Program.
Collaborates with technical, clinical and administrative staff to develop system requirements while understanding system capabilities and limitations.
Collaborates with WVCC and Health Systems Specialist to develop projects for patient notification, needs assessments, and specialized women's health services.
Develops and/or oversees inventory-related management systems.
Maintains and disposes of records according to regulations.
Performs timekeeping duties for department.
Answers and directs phone calls to appropriate staff member.
Receives, routes, and prepares various correspondence.
Manages program calendar, resolves scheduling conflicts, and schedules/reschedules appointments as needed.
Reconciles supply purchases and maintains purchase card documentation.
Serves as the liaison for information technology (IT) regarding equipment or software issues.
Understands and interprets a variety of local, federal and state laws policies, procedures as well as standards and regulations from external accreditation organizations.
Communicates verbally and in writing with diverse internal and external customers in a professional and courteous manner.
Assists with responses to action items to include congressional responses as needed.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes but is not limited to:
Microsoft Office (Word, Outlook, Excel, One Note),
Running/ preparing reports from numerous programs,
Maintaining inventory management, Records maintenance,
Proficient in communication, answering phone& directing calls and
Knowledgeable in local, federal and state laws/ policies.
