Provide program support assistance to the workflow at the Administrative Office of the Chief, Surgical Service. Perform work of a general program support nature that encompasses a variety of different duties and responsibilities. Perform typing, office automation, acquisition and procurement of materials, supplies, and services, data transcription and general program support work at or above the minimum proficiency level at the San Juan VA Medical Center.
Duties
Major duties include but aren't limited to:
Perform typing, office automation, data validation and/or transcription work.
Prepare all the HRMS related documentation such as the annual performance appraisals and competency reports for all the non-physician service staff (administrative/clerical, nursing and technical).
Prepare and execute work related to the Open-Heart Surgery Program and provides program support assistance to the Cardiothoracic Surgeons/First Assistant Surgeon, Perfusion staff, Cardiothoracic Nurse Practitioner and Cardiothoracic Physician Assistant.
Maintain an electronic database of the re privileging dates.
Perform continuous reviews, but not less than at least semiannually, of all the care provider credentials on record, request these documents, and maintain an updated file.
Maintain updated documents completed and filed at all times in binders.
Perform as a Timekeeper, handle time and attendance reports for attending staff, house staff, full and part time staff, consultant, on station fee basis and contract staff.
Prepare memos, requests for tuition and travel funds and leave authorizations for all the Surgical Service Staff and routes to the ACOS for Education office for approval.
Place and answer telephone calls, relay message's, receive and orient visitors.
Turn in malfunction pagers/phone for repairs and prepare Report of Survey for lost pagers.
Place work orders for improvements/repairs and office forms/office supplies and for maintenance of the reproduction/fax equipment for all Sections, Operating Room, Administrative Office and Surgical Service Outpatient Clinics.
Protect printed and electronic files containing sensitive data in accordance with the provisions of the Privacy Act of 1974 and other applicable laws, federal regulations, VHA status and policies and local policy.
Work Schedule: 7:30 am - 4:00 pm, M-F

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/24/2024.
This position requires the ability to type over 40 words per minute.
This position requires proficiency in spoken and written English and in spoken Spanish.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: type, office automation, data validation and/or data transcription work; independently transcribe, collate materials in final form with responsibility for format, word usage and grammar; prepare and distribute Staff on duty rosters for attending, residents and medical students; maintain updated electronic databases of tours of duty, weekly work schedules, attendance forms of full and part time employees; perform as a Timekeeper, handle time and attendance reports for attending staff, house staff, full and part time staff, consultant, on station fee basis and contract staff; place and answer telephone calls, relay message's, receive and orient visitors; protect data from unauthorized release or from loss, alteration, or unauthorized deletion.
Preferred Experience: Prepare procurement packages for equipment and instruments documentations; serve as a timekeeper; prepare official reports and communications; manage records.

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying light items, such as papers and books. No special physical demands are required to do the work.
