The Program Support Assistant will support assigned Communit Care Teams administratively in coordinating care and must have the ability to to extract, compile and analyze data. This will not include will not include patient care and or clinical care duties but administrative duties in support of that care. The postion requires clerical abilities, computer knowledge, office managment skills, excellent interpersonal skills, prioritization skills, and flexibility in a variety of assigned duties.

Duties

The duties of the Program Support Assistant (OA) will be varied and include: Hanlding data, supporting departmental processes, and assisting with coordinaiton of patient care by working with Community Providers on improving processes for record retrieval allowing for better follow up of care. Uses multiple systems including but not limited to Computerized Patient Records System (CPRS)/Cerner and CTM for patient documentation in support of record retrieval and/or notification to other staff for follow up. Serves as point of contact for patients, medical center staff, community providers, their assigned teams in the Community Care Service, and various others who contact the office in person, by phone, email or other avenues. Works daily with teams assuring that records are retrieved from outside Providers for clinical staff review and will be aware and adhere to all guidelines for handling patient medical record information which excludes the review of any medical information. Uses a high degree of tact and diplomacy when dealing with Veterans who have multiple health problems and who may be frustrated with the administrative process associated with diagnosis and treatment. Independently manages position responsibilities with little supervision as well as set priorities and deadlines adjusting to the flow and sequencing of the work to meet team and patient needs. Reads and responds to work related emails both VISTA and Outlook in a timely manner and complete all required training within established time frames. Tracks service metrics for Consults. Work Schedule: Monday - Friday 08:00 a.m. to 4:30 p.m. Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/18/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: receiving, tracking, and reviewing documents, data, and reports for completeness and entering pertinent information into a shared folder for the team to access; and preparing, executing and/or tracking program(s) specific information like, but not limited to, performance measures; and supporting the service as needed with letter/mail handling, ordering, and tracking supplies, maintaining inventory, answering phones in a prompt and courteous manner, maintaining spreadsheets, coordinating, and scheduling meetings, initiating, and tracking work orders, etc. You will be rated on the following Competencies for this position: CommunicationInformation ManagementPlanning and EvaluatingSelf-ManagementTechnical Competence Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is generally sedetary. However, there may be some walking, standing, bending carrying of light items such as papers, books, small pieces of equipment and supplies.
