The Administrative Support Assistant performs secretarial duties for the Deputy Associate Director Patient Care Services (D-ADPSC) and the Chief Nurse of Operations (CNO). The selectee assists in all aspects of the Nursing Administrative Office including medical center policies, service line agreements, suspense files, document revisions and inquires. The selectee is the purchase card holder and contracting officer representative (COR) for Nursing Services.
Duties
Major duties include but are not limited to:
Work jointly with other services to assure actions recommended by DADPCS and CNO are carried out and required written responses are received timely.
Transcribe minutes of Nursing Administrative meetings, Nurse Executive Council, and other committees/groups.
Coordinate preparation for meetings; prepares agendas, schedules and contacts presenters
Maintain a suspense file of due documents and assures concerned personnel are aware of time frames.
Maintain a collaborative working relationship with quality management office.
Types and assembles pertinent documents for the DADPCS and SNO and Chief Nurses.
Review Budget allocations of Nursing Fund Control Point (FCPs).
Maintain Undelivered order (UDO) reports for accounts payable, contracts/invoices received from Fiscal service.
Provide orientation to clerical staff
Responsible for completing requests for Personal Identity Verification (PIV) cards for employees.
Collaborate with Manager Self Service (MSS) actions.
Participate in the Controlled Substance Inspection
Assist with the scheduling and coordination of interviews.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/07/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
PREFERRED EXPERIENCE: Previous experience working with multiple computers softwares. Previous experience performing clerical duties.
Minimum Qualification- You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Demonstrating knowledge of VA organization procedures, possessing appropriate knowledge of English and Spanish language and computer programs such as; Word, Excel, PowerPoint, as well as knowledge of grammar, spelling, and punctuation. Determining the approach for a wide variety of situations and conflicts. Applying and adapting guidelines. Deciding what and how to accomplish the duties, priorities, commitments, policies and program goals of the supervisor. Assuring adequate methods and procedures for administrative support. Facilitating the work of the DADPCS and the CNO. Identifying and resolving problems. Maintaining professional contacts to plan, coordinate and advise on work efforts. Communicating with customers in a respectful manner. Maintaining confidentiality of sensitive data or information.

Physical Requirements: The work is partly sedentary, using the computer for parts of the day. Walking to other parts of the facility may be necessary. Some bending and standing is required.
