The position provides administrative aspects of non-institutionalized patient care performing work of considerable difficulty and responsibility requiring a comprehensive working knowledge of Lab practices, clerical and organizational duties that ensure efficient and effective service line support. She/he provides technical assistance and expertise in the development and maintenance of an integrated team approach to care within Pathology and Laboratory Medicine Service (P&LMS).
Duties
Duties to include but not limited to the following:
Administrative Duties
Serves as the liaison to schedule meetings, obtain conference rooms, arrange for, monitor, and secure equipment, teleconference lines, videoconference equipment, services, products, and copies as needed.
Responsible for data management, including data support for strategic initiatives and performance metrics. Assists leadership by providing data to track projects, improve databases and to ensure most efficient reporting methods are being utilized. The incumbent will assess best methods and apply computer capabilities to facilitate administrative operations for the service lines. The incumbent will extract and monitor data using statistical tracking systems and compile data together into a comprehensive report.
Maintains, research, and revises document related to electronic file systems for pertinent information by collecting and reviewing relevant source documents for upcoming meetings and for staff resources. Researches and locates appropriate documents and files for P&LMS.
Assists with P&LMS activities and provides support for meetings and conferences including scheduling meetings, recording minutes, developing, and distributing meeting evaluation forms. Responsible for coordination with Chief, Administrative Officer, Lab Manager and Supervisors and drafting required conference documents. Tracks and assures accurate and timely dissemination of P&LMS policies, plans, directives, audits, and initiatives as directed. With assistance, drafts lower-level operating policies, plans or directives for review by the service line staff.
Records and transcribes minutes from multiple service line committees and other meetings that may be related to the functions of the service lines including the Department Townhall, Quality, Improvement and Safety Committee, or other committees as directed. Coordinate's information, prepares agendas, copies material to be discussed, prepares minutes for distribution, identifies action items and follows-up as required. Ensures necessary committees, charters, minutes, agendas, and trackers are organized on the appropriate SharePoint or shared drive to members to access. Demonstrates understanding and knowledge of medical terminology and maintains confidentiality when preparing a variety of correspondence.
Maintains Equipment/Supplies/Facilities

Supports service lines administrative activities utilizing various computer applications including spreadsheets, databases, word processing, graphic generation, desktop publishing programs, multiple data bases, internally developed desktops to develop, format, evaluate and redesign information to meet the needs of P&LMS.
Work Schedule: Monday thru Friday 7:30 am to 4:00 pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/12/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 07 position you must have served 52 weeks at the GS 06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
GS 07 Minimum Qualification
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: serves as advisors and experts to the Section Chiefs and supports the management information components, serves as a management analyst, tracking and assisting with suspense items, assists in managing all equipment, maintains a service-level records inventory and file plan, manages a spreadsheet to identify and track record titles, descriptions, locations, volumes, filing instructions, and dispositions, creates and manages forms, charts, and posters, often complex, utilizing Power Point, Excel, VISIO, and Microsoft Word, designs detailed charts and graphs, serves as an assistant of administrative functions, reviews all correspondence/publications prepared for the signature of individuals to ensure correct format, grammar, spelling, punctuation, appearance, and assembly. .
Preferred Experience:
Experience in Pathology and Laboratory Business and contracting process.

Physical Requirements: The work is mainly sedentary but requires some repetitious keyboarding, bending, reaching, stooping, walking, standing, and the carrying of such things as patient records, office supplies, and letter mail. This position may involve more frequent walking to various locations of the building, but this position requires no unusual physical demands to perform the work.
