The purpose of this position is to perform a variety of staff support functions, special projects and assignments in support of HUD-VASH leadership (HUD-VASH Coordinator, HUD-VASH Deputy Coordinator, HUD-VASH Contract Coordinator, HUDVASH Administrative Officer and other HUD-VASH Program Management staff, as appropriate).
Duties
Prepares detailed written accounts or minutes of meetings. The incumbent identifies, coordinates, and tracks post-meeting action items to completion. The incumbent
Develops systems, processes, and procedures to ensure timely submission, review, and coordination of all required read-ahead materials for meetings involving HUD-VASH leadership. The incumbent reviews daily briefing folders for the HUD-VASH leadership team to ensure that they are prepared properly and oversees the weekly calendar reconciliation process.
Manages the HUD-VASH office schedule, or day-to-day plans. Maintains conference room appointments and calendar by scheduling meetings and sets reminders. Develops routine plans or schedules using standard reference and existing information.
Plans and coordinates logistics for small to large-scale events such as special committees,
boards, symposia, and conferences based on meeting objectives, identifies schedule/time
required, and estimates resources required.
Responsible for timekeeping functions for multiple HUD-VASH sections ranging up to 200 employees.
Act as a Personal Identity Verification (PIV) Sponsor for PIV Card applicants.
Act as the Talent Management System Coordinator (TMS)-training specialist and manage/oversee the TMS learning plans for employees.
Ensure that staff complete all mandatory and assigned training for staff aligned to HUD-VASH;
Responsible for overseeing the procurement of supplies and services required for program office functions. The incumbent manages certification of invoices, program office obligations, and reconciliation of accounts.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/17/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS -05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include but are not limited to: conducting literature searches; preparing manuscripts and materials for professional presentations of study findings, data input and cleaning; preparation of summaries and analytics; day to day managing of Core area administrative tasks including meetings, agendas and communications; selecting vendors and preparing P.O.'s for project equipment and supplies; assisting in preparation of Institutional Review Board packets (consents, applications, etc.), where applicable; and troubleshooting daily administrative and research barriers within the VA.

Physical Requirements: Work involves interviewing and observing research subjects, assisting subjects during walking and transferring tasks during the physical performance tests, meeting with team members, sitting at a computer terminal or desk. Work involves carrying equipment and laptop computers that may weigh 10- pounds. The incumbent observes normal safety precautions while working.
Work Environment; Work is performed in an office setting. The work environment involves everyday risks or discomforts that require normal safety precautions.
