Serve as a Program Support Assistant for the Phoenix Indian Medical Center (PIMC) Division of Quality Management, Staff Development Department, located in Phoenix, AZ. The incumbent will report to the Staff Development Supervisor.
Responsible for maintaining and improving the effectiveness and efficiency of the medical and administrative hospital staff through various training
and job enhancement activities and the acquisition of supplies, services and equipment for the program.
Duties
Serve as a Program Support Assistant -
Receives and screens written requests for training.
Ensuring complete information has been provided such as course and billing information. Verifies employee has prerequisites for requested training, i.e., representative of the level of work being performed, previous courses completed or are included in upward mobility plans.
Review and process requisitions for a variety of training supplies, equipment, and services through various purchase procedures
Researches requests for specific or specialized items for hard to find items and to determine where vendor is located and through which source.
Works with student trainees to adjust training schedules, to resolve work, school or vacations conflicts. Coordinates notification of employees approved for training and keeps employees apprised of any changes in meeting schedules or meeting places.
Submits training registration to vendors and upon completion of training, follows up with employees to ensure that course evaluations have been completed.
Maintains records on new supervisors to ensure they have been provided the required supervisory training, keeping the Director apprised of those who have not received the necessary training on a timely basis.
Coordinates travel with Support Services to make travel arrangements in conjunction with training. After training is completed obtains receipts from employees and completes reimbursement vouchers as necessary.
Conducts meetings with supervisors and employees to determine training needs and provides advisory and technical information on regulations related to regular and special training and travel and reimbursement of expenses.
Maintains files and documentation that contain a variety of information for tracking dollars spent on completed training.
Ensures training schedules, pamphlets, and other notifications of training opportunities are displayed or routed to appropriate Department Chief or supervisor so employees requesting training can prepare paperwork far in advance of scheduled training.
Knowledge to review training catalogs and select course related film for presentation during training courses.
Skill to coordinate the work of the office with other departments within the hospital, using tact and diplomacy, to explain rules, regulations and policies for hospital employees requesting training.
Interviews supervisors and employees to ascertain the relatedness of the requested training, considering such factors as applicability of training needs, organization needs and employee needs.
Qualifications
To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
GS-7: Your resume must demonstrate at least one year of specialized experience at or equivalent to at least the GS-6 grade level in the Federal service obtained in either the private or public sector.
Specialized experience qualifying for the GS-7 grade is defined as: Performing technical administrative tasks in the areas of correspondence management, office automation, data collection, and tracking information; managing calendars and meeting schedules for higher level staff; serving as Point-of-Contact for an organizational unit; and performing specialized office tasks in support of a unit including screening training requests and ordering supplies through official channels.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
