This position is located at the Phoenix Indian Medical Center, in several departments located in Phoenix, AZ. The incumbent plans, coordinates and accomplishes a variety of program support tasks of an advanced nature for a complex healthcare facility. The Executive Assistant serves as liaison to the Executive Committee and senior management teams; and organizes and coordinates executive outreach and external relations efforts. Provides advice and assistance on all administrative matters.
Duties
The individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills and the ability to maintain a realistic balance among multiple priorities.
Serves as key member of the Office of the C-Suite. Provides advice and recommendations to the Chief Officers (CO) on matters relative to the coordination, integration and synchronization of events and activities personally affecting and involving the management team.
The Executive Assistant is experienced in handling a wide range of administrative and executive support-related tasks, and should be able to work independently with little or no supervision.
The Executive Assistant will be a highly resourceful team-player, who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive and efficient.
Incumbent participates in Improving Patient Care through Relationships (IPC-R) initiatives. Relationship Based Care (RBC) is a culture transformation model and an operational framework that improves safety, quality, patient satisfaction, and staff satisfaction by improving every relationship within an organization.
Responsible for all Human Resources activities such as recruitment action tracking activities including sending a weekly update/summary to clinical directors on all pending actions and reminders for pending signatures.
Qualifications

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
GS-8: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the GS-7 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Experience in performing administrative and clerical duties to include the following: serving as an executive assistant to a Chief Executive Officer (CEO) or similar echelon; coordinating CEO activities by setting up and refusing appointments; coordinating and assembling background information for meetings; composing correspondence; planning itineraries and schedules for travel, ensuring transportation and accommodations reservations are arranged and the preparation and submission of travel vouchers are completed; knowledge and use of a computer and competent in word processing, database usage, and ability to utilize various software.
GS-9: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the GS-8 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Experience in serving as an executive assistant to the office of the Chief Executive Officer (CEO) or similar echelon in coordinating appointments and calendar management; making and accepting phone calls utilizing discretion in exercising accessibility of information received and provided; booking travel arrangements, making itineraries ensuring all aspects of travel are followed including timely and efficient voucher claim submissions; assist in arranging subordinate representation by an alternate official in absence of the CEO; organizing and strategizing logistics along with coordination and assembling of information for meetings; review/compose draft executive correspondence; knowledge and use of a computer and competent in word processing, database usage, and ability to utilize various software; ability to multitask and demonstrate the ability to organize competing priorities with professionalism to ensure a seamless approach in the completion of organizational tasks assigned.
Proficiency Requirements: In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate.

Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
