Duties
Receives telephone calls and visitors, referring to staff members and forwarding to the supervisor only those calls or visitors requiring their attention.
Maintains calendar of supervisor's activities such as conferences, meetings, or other functions.
Reviews all mail/correspondence for proper staffing, grammar, punctuation, typographical errors, enclosures, and otherwise to assure mail is ready for signature.
Makes necessary arrangements for conferences including space, time, contacting people, and other matters based on information provided by the supervisor.
Performs Timekeeping functions including time certification.
Prepares/finalizes travel orders, makes travel arrangements, hotel reservations, etc.
Prepares travel vouchers using the Corps of Engineers Financial Management Systems (CEFMS).
Establish and prepare guidance of office procedures to lower-level secretaries throughout the organization.

GS-07:
Specialized Experience: One year of specialized experience which includes preparation and review of military and civil executive-level correspondence, awards, reports, and other documents. Receiving office visitors and telephone calls and based on organizational knowledge directing caller to the appropriate source, maintaining automated appointment calendars, and exercising judgment over priorities and schedules. Utilizing automation such as electronic mail, time and attendance, financial systems, and other DoD programs. Preparing and assembling briefing materials for meetings and conferences, independently following up on tasks resulting from meetings/conferences.
This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06).
GS-08:
Specialized Experience: One year of specialized experience which includes preparation and review of military and civil executive-level correspondence, awards, reports, and other documents. Receiving office visitors and telephone calls and based on organizational knowledge directing caller to the appropriate source, maintaining automated appointment calendars, and exercising judgment over priorities and schedules. Utilizing automation such as electronic mail, time and attendance, financial systems, and other DoD programs. Preparing and assembling briefing materials for meetings and conferences, independently following up on tasks resulting from meetings/conferences. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-07).
Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-07).
GS-09:
Specialized Experience: One year of specialized experience which includes preparation and review of military and civil executive-level correspondence, Department of Defense Honorary awards, reports, and other documents. Receiving all levels of office visitors and telephone calls and based on organizational knowledge directing caller to the appropriate source, maintaining automated appointment calendars, and exercising judgment and control over priorities and schedules. Utilizing automation such as electronic mail, time and attendance, financial systems, and other DoD programs. Preparing and assembling briefing materials for meetings and conferences, independently following up on tasks resulting from meetings/conferences. Advising leadership on best office practices and independently managing office requirements for supplies and services. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-08).Time in Grade Requirement:
