This position serves as a program support assistant located within the Office of Patient Care Services (OPCS).
Duties
Major Duties:
Receives incoming correspondence, records, and report and routes them to the appropriate channels.
Resolves daily workplace issues independently and maintaining efficient workflow in order to meet the demands of the service.
Preforms the following duties: Types all reports to include charts, ensuring correct grammar, spelling, punctuation, and timely completions.
Provides general clerical mail correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information and filing.
Recorder for all team huddles, staff meetings, committee meetings, Shared Governance committees and management meetings.
Performs office automations duties using such software applications as electronic mail, calendar, spreadsheet, database access, and other comparable database software to organize data and information.
Schedules appointments, coordinates meetings and/or schedules conferences for the service Chief.
Assists in obtaining and monitoring the use of services, supplies, or equipment for the service.
Timekeeping
Monitors schedules daily for changes; posts changes daily
Unit scheduling processes by transcribing schedules in AcuStaf to GovTA.
Ensuring schedules in AcuStaf are validated.
Demonstrates proficiency and accuracy when inputting tours in GovTA.
Make necessary changes timely, daily, and accurately.
Tracks leave balances to ensure posting of requests do not result in negative balances.
Answers staff questions per policy/regulation
Resolves timecard issues in collaboration with content experts as needed (e.g., payroll)
Teaches and trains employees on the use of the employee GovTA menu.
Customer Service
Timely resolves issues as needed, reports to the appropriate personnel the appropriate follow up.
Utilizes the ICARE model in responding to concerns of patients/families/staff.
Consistently communicates and treats customers in a courteous, respectful manner.
Additional duties as assigned.
Work Schedule: Full-time Monday - Friday Variable Schedules based on the needs of the service
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Adhoc.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/12/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Typing requirement - Must be able to type 40 words per minute
In addition to the typing requirement, you may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge and understanding of the VA rules, including regulations, duties, procedures, commitments, policies, and program goals, sufficient to perform technical and administrative tasks independently with very limited supervision. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is mostly sedentary with occasional lifting, bending, carrying light items, walking, and driving required in the delivery of reports, filing, binders on and off shelving and other materials, etc. Physical dexterity is required in the operation of the compute machine, and other required office equipment. Must be able to concentrate for long period. Incumbent must be able to maintain composure when other is upset. No special demands are required to perform work.
