This position is located at the Department of Veterans Affairs Palo Alto Health Care System (VAPAHCS), which is a major inpatient and outpatient tertiary referral center with three hospital-based divisions serving the VA Sierra Pacific Network (VISN 21).
Duties
Maintains a calendar of appointments for meetings, conference calls and other various scheduled activities for the service.
Provides assistance to guests and Veterans by providing them with information on the community and health care system.
Develops, promotes, and maintains effective communications with other services to enhance a mutual understanding and acceptance of responsibilities.
Assures access to privileged information is secure at all times.
Compiles and prepares accurate reports of pending consults, patient need, scheduling problems, as well.
Provides program data collection and tracking for the entire service.
Completes assessments on referrals on all lodgers assuring appropriateness for admission.
Determines appropriate approach to perform a variety of duties related to special projects involving a wide variety of issues.
Performs program support work, such as program or resource planning, evaluation of administrative programs, liaison, special projects, or board or committee related work.
Ensures compliance with health, safety, privacy, and sanitation rules and regulations.
Conducts inspections of guest rooms
Provides assistance for a variety of problems and inquiries which are received in person, telephonically, or by referral from other secretaries or receptionists in the organization.
Work Schedule: Monday-Friday / 8:00 a.m. - 4:30 p.m.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/03/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Taking notes from meetings and conferences to follow-up and complete tasks discussed during the meetings.
Works efficiently independently with supervisors to ensure all tasks re completed timely and effectively.
Proficient in all Microsoft computer application systems for maintaining and developing procedures, regulations, reports, and spreadsheets.

Physical Requirements: The position is sedentary with some standing, stooping, reaching, and lifting up to 20 pounds.
