The purpose of the position is to provide administrative/clerical support to the VISN 6 Office. The incumbent will obtain office staff data, compile office staff information, collect, report, and provide program support. Based on a good working knowledge of the organization and substantive programs under the supervisor's control, the incumbent resolves problems associated with administrative and clerical work of the office.
Duties
Major duties and responsibilities include, but are not limited to:
Assist the supervisor during all business hours in performing and/or managing administrative tasks.
Support VISN office staff and leadership needs through coordination and performance of day-to day office duties.
Schedules appointments, coordinates meetings and/or schedules conferences.
Provides general calendar maintenance clerical services such as maintaining calendars and recording appointments and arranging for meetings and small conference administrative details.
Coordinate conference logistics and food service activities.
Setup and breakdown of activities such as food, light cleaning, order prior and after the completion of the meetings and/or schedules conferences.
Monitor the use of services, supplies or equipment for the office.
Perform time and attendance record keeping duties in the VATAS/or equivalent programs for the office staff.
Process Executive Administrative staff correspondence for appropriate dissemination.
Work Schedule: 8 am-4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/01/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-5 position you must have served 52 weeks at the GS-4. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Maintaining calendars, appointments and schedules; coordinating conference logistics and food service activities; and order office supplies. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.

Physical Requirements: The work is sedentary and will require the incumbent to sit for long periods of time. Typically, the employee sits comfortably to do the work. However, there may be some light lifting, walking, bending, and stretching. Carrying of light items such as papers, books, soda, and water crates (no more than 5 lbs.), food trays; and some driving an automobile, etc. No special physical demands are required to perform the work.
