Duties
NIST's Time and Frequency Division (688) is part of the Physical Measurement Laboratory located in Boulder, CO. We are a small but mighty team that supports a large division (currently over 130 personnel)! You can learn more about our team here.
We are looking for an Administrative Office Assistant (OA), also known as a Division Office Manager, to join our team!
If selected, you will provide clerical and administrative support with advanced knowledge of administrative processes. This will include:
processing travel authorizations and vouchers
preparing documentation for guest researcher appointments/renewals
assisting in the in-processing of new employees and associates to include arranging for office space, phones, and computer accounts prior to arrival; and preparing for and completing out-processing actions prior to the departure of exiting employees and associates
managing time and attendance
purchasing equipment, supplies, and services and serving as a bankcard holder
preparing training requests, scheduling meetings, and serving as the principal office contact for phone calls and visitors
managing files, including archiving records according to published records schedules
preparing documents, reports, and correspondence requiring typing 40 WPM and skills using a variety of office automation software, such as spreadsheet, database, and word processing software.
This position also requires lead coordination of a subject matter (e.g., travel, bankcards, timesheets), coordination with high-level internal and external officials, and administration of workshops and/or external engagements. This will require flexibility and adaptability to change how and where tasks are accomplished in a dynamic environment.

Qualifications
Basic Requirements:
At the ZS-IV level: Applicants must have one year of specialized experience equivalent to the GS-06 (ZS-III for NIST). Specialized experience is defined as:
experience providing administrative and clerical support,
familiarity with using and performing data entry in programs such as Teams, Word, Excel, Outlook, Access, and PowerPoint
At the ZS-V level: Applicants must have one year of specialized experience equivalent to the GS-08 (ZS-IV for NIST). Specialized experience is defined as:
experience providing training on, and processing purchase requests (using a business credit card or account), processing travel requests and timekeeping
experience collaborating with multiple work units outside your immediate team
experience completing work with prominent visibility and directly supporting a senior leader within your business/agency
In addition to the above basic requirements, ALL applicants must be able to type 40 WPM.
Experience refers to paid and unpaid experience, including volunteer work done. We will credit all qualifying volunteer experience in your application.
