The Program Support Assistant (Credentialing Specialist) is assigned to the Credentialing and Privileging Office, which is under the Chief of Staff at a VA Medical Center (VAMC) and is responsible for providing administrative and technical direction and support to the credentialing operations. The Credentialing Specialist is aligned to and supervised by the Credentialing and Privileging (C&P) Manager.

Duties

Independently manages initial credentialing applications for non-licensed independent providers using knowledge of medical specialties and regulation. Assures credentialing packages, database accounts and other documents meet technical requirements per specialty of provider and regulation. Determines processes for coordination of incoming credentialing data and documents from a variety of sources. Evaluates all red flag issues, immediately raising to supervisory levels. Enters appointments into the VetPro database, after thoroughly researching, analyzing and validating all data, information, documents and signature authorities. Closes VetPro files upon provider separation and manages the Provider Exit Review process. Enters credentialing data into numerous computer programs such as VetPro, USA Staffing, VISTA, and utilizes Microsoft Programs including Word, Access, Excel, PowerPoint, along with other quality management tools. Safeguards provider confidentiality during the Credentialing process. Maintains confidentiality of information in accordance with the Privacy Act in releasing information, including security and maintenance of operations of program systems. Complies with all government purchase card requirements including reconciling transactions and resolving discrepancies with Fiscal Service when serving as a purchase card holder. Communicates and treats internal and external customers in a courteous, tactful, and respectful manner. Meets the needs of customers, while supporting VA mission. Assists C&P Manager implementing local credentialing procedures; co-facilitates performance improvement initiatives under high reliability organizational processes. Composes emails to external customers and other forms of correspondence requiring Clinical Service Chief VetPro approvals and Medical Center Director signatures for credentialing actions. Uses significant judgment to inform leadership and appropriate administrative staff of program changes, new regulatory requirements, policies and procedures or concerns pertaining to the credentialing program. Provides quality control checks on data, and assists with internal audits and regulatory site visits. Receives and reviews VetPro reports detecting variances requiring further investigation. Addresses all VetPro report card variances timely to meet VHA credentialing metrics. Work Schedule: Monday to Friday 8:00am to 4:30pm Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/22/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. General Adjustment SF-50's with the effective date of within the last year do not provide the information to reflect time-in-grade requirement has been met and therefore cannot be the only SF-50. If you are currently serving in a Hybrid Title 38 position, your SF-50's must reflect you have been in the position longer than one year. Preferred Experience: Previous experience in Credentialing, HR or advanced MSA; Knowledge of the VA on-boarding process, knowledge of VHA qualification standards, and knowledge of primary source verification process. Knowledge of VHA VetPro credentialing thru experience and/or VHA Credentialing boot camp training/TMS courses. Ability to manage numerous documents, process detailed information, coordinate credentialing processes with applicants, meet very tight deadlines and facilitate detailed communications with Supervisor, team members, HR Staffing Specialists, Service Chiefs, AO, and applicants. Prior ability to management multiple VetPro files or similar workload simultaneously. Ensure proper customer service during on-boarding urgent and routine positions. Knowledge of identification of credentialing red flags and ensure that appropriate action is taken (or can be applied) through experience or training. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Composing correspondence requiring Clinical Service Chiefs and Medical Center Director signatures for credentialing actions. Receives and reviews VetPro reports detecting problem areas requiring further investigation. Develops and provides routine and special reports as requested. Enters appointments into the VetPro database, after thoroughly researching, analyzing and validating all data, information, documents and signature authorities. Reviews documents and applications for omissions and inconsistencies and assures data entry is complete and accurate to meet VHA policy and regulation, and TJC standards. Maintains confidentiality of information in accordance with the Privacy Act in releasing information. Provides quality control checks on data. Responsible for compliance with all purchase card requirements including reconciling transactions and resolving discrepancies with Fiscal Service. Physical Requirements: The work is mostly sedentary. Occasionally, light physical effort may be required, such as that involved with walking, stair climbing, and carrying of light office items.
