The position is located at the El Paso Veterans Affairs Health Care System (EPVAHCS) within Behavioral Health Services. The Management Assistant assists the Program Manager of the Behavioral Health Program of the El Paso Veterans Affairs Health Care System.

Duties

The staff serviced by this Management Assistant position in Behavioral Health Service consists of Psychologists, Psychiatrists, Program Managers, Social Workers, Training Directors, Psychiatry Residents, Social Work Interns, Psychology Interns, Program Support Assistants, Vocational Rehabilitation Counselors, Registered Nurses, Licensed Vocational Nurses, Nurse Practitioners, and Peer Support Specialists. The Management Assistant performs a variety of duties in an environment focused on providing services to mental health patients in a broad and complex product line. The Management Assistant: Serve as a receptionist who receives and screens telephone calls and visitors. Gathers information to assist patients and family members and works with Patient Advocate to resolve challenges or complaints. Assists all visitors or telephone inquiries with questions regarding directions or services available. Serves as a liaison with appropriate local staff regarding emergent patient situations needing special attention. Prepares letters, memoranda, forms, biographical sketches, curriculum vitae, boarding packages, metric tracking forms, and various documents in final format from handwritten notes, draft documents or verbal instruction. Makes photocopies of administrative, budgetary, educational or clinical materials, scans hard copy documents to electronic files and assembles documents or parts in a prescribed manner to form a composite end result Answers inquiries on own initiative and/or refers appropriately to the Supervisor, MH ACOS or other appropriate staff or service. Gathers and compiles data for the preparation of reports, electronic work orders and tracks follow-through and completion of these tasks. Serves as a timekeeper, maintains personnel records and reports, and processes personnel actions. Anticipates recurring or emergent needs and provides assistance in initiating orders for supplies, services, purchase orders and the repair/replacement of equipment. Maintains appropriate guidelines set forth by internal and external review organizations, (i.e., JC guidelines, VISN directives and facility policy adherence, fire and health safety, emergency procedures, policies etc.). Maintains resource calendars such as meetings or conference rooms, booking of GSA automobiles and/or scheduling calendar for other transportation. Makes necessary arrangements for meetings and conferences, including planning for guest speaker electronic needs, video-teleconferencing or VANTS access and/or providing directions and information to travelers to the meeting site. Manages travel arrangements and regulations and prepares travel authorizations and expense reports. Transmits travel reimbursement documents through appropriate processes timely. Performs Automated Data Processing Application Coordinator (ADPAC) duties, including assignment of access, menus, inclusion in appropriate mail groups, identification of staff IT needs, monitoring and submitting requests for l.T. support and all associated duties that accompany the ADPAC role. Work Schedule: Monday - Friday, 8 AM - 4:30 PM Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Ad/Hoc telework may be authorized as needed. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/21/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05 Grade Level. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your specialized experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 that includes ALL of the following administrative experience: Researching information Gathering data Analyzing data Communicating and interacting with people Using multiple computer programs You will be rated on the following Competencies for this position: Customer Service Clerical Organizational Awareness Technology Application Decision Making Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
