The Greater Los Angeles Healthcare System is hiring one (1) Administrative Support Assistant for the Medical Service in Los Angeles, California. The incumbent will manage and oversee numerous complex technical and analytical functions and will be heavily involved in establishing processes/protocols regarding data management and operational controls
Duties
Duties include but are not limited to the following;
Implement program procedures, regulations, and guidelines concerning operations.
Manage and coordinate Talent Management System (TMS).
Provide support and coordination to all the service lines within Medicine Service.
Develop analytical documents, synthesize information and data for management.
Maintain and manage appointments, meetings and/or conference room calendars and reservations.
Compile meeting minutes as assigned.
Serve as the primary Automated Data Processing Application Coordinator (ADPAC).
Interact with a variety of staff including physicians, trainees, interns, medical students, residents, and fellows.
Serve as liaison between the Supervisory Health Systems Specialist, Ibis/her peers and other health care system disciplines throughout VAGLAHCS.
Administer office automation support tools and software programs to prepare I databases, spreadsheets, graphics/presentations.
Process reports and/or communicate information to employees, the Supervisory Health Systems Specialist and the Team Lead.
Create VISTNCPRS accounts for new employees and serve as PIV Sponsor.
Work Schedule: Monday - Friday 07:30am - 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/20/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service.
An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
GS-06
You may qualify based on your experience described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade, GS-05 in the normal line of progression for the occupation in the organization. This experience must have been equivalent to at least the GS-5 grade level in the Federal service. Examples of specialized experience may include: clinical terminology, medical data, data reports, Cisco VOIP phone system; timekeeping software; electronic health record systems; word-processing programs such as MS Word; spreadsheet programs such as MS Excel; MS Outlook and SharePoint.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: Work is primarily sedentary. Work will involve some walking, bending, and lifting of light objects, as well as a good deal of work on a computer keyboard.
