This position is located in the Phoenix Indian Medical Center located in Phoenix, AZ. The Program Support Assistant performs a wide variety of administrative tasks associated with maintaining and supporting the work performed within a department. Such work includes functions necessary for the efficient management of an office and department leadership team, and ranges from correspondence and information control to timekeeping, acquisitions, and training/ travel coordination.
Duties
Serves as the primary administrative support position in the assigned department and is the supervisor's technical expert and advisor on administrative and management support functions including personnel, procurement, budget and acquisition tracking and planning and general office management.
Incumbent receives, assesses, routes, or otherwise handles incoming and outgoing materials related to correspondence, reports, memoranda, and other forms of written communication.
Performs the following duties: tracks controlled correspondence; composes and edits correspondence, letters and reports; reviews correspondence and other written documents for accuracy and completeness; and develops standard or form letters and replies to inquiries.
Incumbent utilizes computerized office automation equipment such as PC based word processors, databases, database reporting interfaces and spreadsheets for the performance of the duties of this position; database management for input, analysis and reporting (whole cycle for special projects).
Functions as the timekeeper for the department. Timekeeping responsibilities include bi-weekly pay with some complicating factors with strict deadlines.
Qualifications

You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Prepare and receive, assess, route or otherwise handles incoming and outgoing materials related to correspondences, reports, memoranda, and other forms of written communication; utilize computerized office automation equipment; prepare, coordinate, and complete timekeeping responsibilities; schedule and maintain meeting appointments; establish and maintain files.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
