The Program Support Assistant for Telehealth assigned to the Connected Care Program in the Associate Director for Patient Care Services, Ambulatory Care Nursing Service Line in the Martinsburg Veteran's Administration Medical Center (VAMC) is under the direct supervision of the Connected Care Manager, Ambulatory Care Nursing Service. The incumbent is responsible for representing the medical center to Veterans, patients, family members, and other medical center providers in the community.
Duties
TELEHEALTH PROGRAM FUNCTIONS- 55%
Responsible for input of required data into telehealth programs utilizing various VHA databases within and outside of the facility.
Serves as a key contact for the Telehealth Program by acting as a central point of contact (POC) to answer basic program questions or relay messages for Telehealth Clinical Technicians at various CBOC locations.
Discusses program areas with the Connected Care Facility Manager, Facility Telehealth Coordinator, and the MyHealtheVet Coordinator or designee to identify and implement remedial action to be taken.
Collects data that measures the effectiveness of administrative and technical aspects of telehealth programs of the medical center.
Runs the Action Required report and filters the Non-responder Status report for HT programs and maintains consistent communication with clinicians to clear incomplete visits, incomplete and no status encounters, and incorrect duplicate visits on a regular, ongoing basis.
Supports the HT nurses in the performance of activities related to the program, including quality improvement processes and the suggestions of performance improvement strategies to program staff.
Assists management and patient care teams with ensuring that medical records, Telehealth Consults, and documentation relating to Telehealth Programs (HT, CVT, SFT) are completed in a timely fashion.
Provides administrative support for appropriate telehealth clinic grid set-ups and scheduling manager platforms, and assists the Connected Care Manager and the Facility Telehealth Coordinator with proper telehealth coding and clinic set-up for other services, departments, and care lines across the facility.
ADMINISTRATIVE SUPPORT FUNCTIONS- 45%
Serves as a contact for patients, medical center staff, Veterans, community agencies, and any others who contact the program office. Answers telephone made to the Connected Care Program and provides required information and assistance, or makes assistance referrals to the appropriate nursing staff members.
Performs all clerical support duties required by the Connected Care team. Coordinates the prioritization of work to assure that work is completed in a timely manner.
Performs typing and filing, prepares materials for publication such as pamphlets, certificates, forms, graphs, technical manuals, or comparable items.
Provides data entry for all programs and documents used or distributed by the HT Team, including but not limited to Vista and MS Office software.
Prepares and distributes copies of documents and materials used by the Connected Care Program including memorandums, procedure and protocol handouts, teaching documents utilizing MS office for windows.
Assists with ordering office supplies required for daily operations for the Connected Care Program, specifically the HT program and any associated Telehealth/MHV staff, by assessing staff needs and placing warehouse orders via email. Organizes, maintains, and revises relevant materials, documents, the office SOP binder, and PowerPoint presentations for surveys such as the Commission on Accreditation of Rehabilitation Facilities (CARF), The Joint Commission, (TJC) and other purposes.
The incumbent maintains calendar of appointments for meetings, conference calls and other various scheduled activities. Schedules conferences, coordinates meetings, and takes minutes of various meetings pertaining to the Connected Care Program or any future assignments or projects. Transcribes minutes in prescribed format for review and approval by the meeting facilitator, and distributes to appropriate staff.
Performs other duties as assigned.

Physical Requirements: The work is mostly sedentary, but also demands some standing during presentations, briefings, and outreach activities. Performance of duties requires walking, bending, lifting, and carrying of clinical folders, forms, and miscellaneous supplies to various locations within the medical facility.

You may qualify based on your experience as described below:
GS-6-Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Assignments include a variety of standard clerical and support tasks in support of assigned Nursing Service. The work involves data entry and management, report generation, transcription and posting of minutes, writing correspondence, coordinating meetings, calendar maintenance, and assisting leaders and staff with a range of personnel actions. The employee handles most problems that arise, referring unusual and controversial issues to leadership.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
