Function as the office manager for the Environmental Management Service. The incumbent works closely with and is under the supervision of the Hospital Housekeeping Officer (Service Chief). A broad range of duties are assigned in order to aid the operation of a service with well over 100 employees. The incumbent is expected to be proficient in areas such as office automation, planning the activities of an office, communications, correspondence, preparing reports and customer service.
Duties
Major Duties but limited to:
Support programs associated with the Environmental Management Service, to include sanitation, waste management, pest control, employee uniform program, textile care program and patient assistance program.
Compose letters and memorandums using correct grammar, spelling, punctuation and format.
Serve as timekeeper applying different rules that pertain to Wage Grade, General Schedule, Temporary, Part -Time, and Shift differential for employees, as well as proper timekeeping techniques and documentation.
Monitor process accumulating data needed to complete contracts in accordance with regulations.
Maintain Medical Center Memorandums and official correspondence in appropriate files.
Organize programs and policies in order to promote an efficient and harmonious atmosphere and smooth flow of business into and out of the office.
Relive the Service Chief of as many administrative duties as possible.
Receive calls, greets visitors, and directs to staff members only those contacts needing attention or action.
Respond to routine and non-routine requests for information.
Schedule meetings and ensures that the Service Chief is aware of commitments and arranges to have pertinent dates and information at his/her disposal.
Receive and review all mail incoming and outgoing for the Service.
Performs other duties as assigned.
The position must report to the facility an a daily basis. It is not telework nor remote work eligible.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/23/2024.
GS-7 grade level: One year of specialized experience (equivalent to the GS-6 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes:
Able to type 40 words per minute and using various Microsoft Office programs
Experience as timekeeper
Maintaining appointment calendars, coordinating meetings, and conference calls
Record and transcribe minutes and maintains files
Preparing reports, assisting in planning, reviewing and reporting data
Coordinates and maintains Policy and Procedure documents
There is no educational substitution for the GS-7

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is primarily sedentary but also requires some standing, walking, bending, lifting and carrying of light items. The work requires above average agility and dexterity.
