These Program Support Assistant positions are in Business Office services at the Boston VA Healthcare Systems. These positions are full-time at 40 hours per week.
Duties
These Program Support Assistant positions are under the Support Services section in the Business Office at the VA Boston Healthcare System. The incumbent may be assigned to work irregular tours of duty including evenings, weekends and holiday.
MAJOR DUTIES
Working and communicating with clients and customers.
Responds to a high volume of calls efficiently and promptly.
Analyzes and determines the appropriate level of management or personnel to contact using clear communication skills.
Receiving mail from external sources, to include hazardous/perishable materials along with urgent and time sensitive documents.
Separates mail for redistribution within the organization.
Assess outgoing mail for proper addressing, labeling, and packaging.
Responds to major systems malfunctions.
Triaging emergency situations and alerting the proper personnel.
Determines when a service call is needed for maintenance on equipment.
Performs routine maintenance on copy machine daily and cleaning copy machinery, when necessary, to insure maximum operating efficiency, to correct deficiencies and to minimize "down time".
Places service call and arranging for prompt service.
Reviews all reproduction requests, assuring compliance with VA regulations, copyright Laws, and local policies.
Evaluates copies to be reproduced to preclude duplications of effort and to insure clarity of finished product.
May serve as a timekeeper.
Other duties assigned.
Work Schedule: Various tours: 4:00 p.m. to 12:00 am, 12:00 a.m. to 4:00 p.m., 7:30 a.m. to 4:00 p.m. or 8:00 a.m. to 4:30 p.m.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/04/2024.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative support for an office; collecting, compiling and tracking data and information; ordering and maintaining office supplies; reviewing all incoming and outgoing correspondence; and utilizing office automation software such as Microsoft Office (Word, Excel, Outlook and PowerPoint). NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position AND the number of hours per week spent in such employment.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. Transcripts MUST be submitted at the time of application.

Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and post high school education beyond the second year, which may be used to meet the total experience requirements for this grade level. Physical Requirements: The primary work environment will be in an office setting. The work is primarily sedentary but one may be required to stand, sit, bend, stoop, walk, and carry light items such as books, papers and telehealth equipment.
