The position provides administrative support for the Chief, Assistant Chief and the Projects Section Supervisor. Work assignments cover a variety of tasks associated with scheduling, coordination of activities and meetings, records management, personnel services, dissemination of various information, ordering supplies, reconciling, and training coordination. The incumbent supports the missions, goals and values of the VAMC, Martinsburg and VISN 5.

Duties

Major Duties: Performs work related to the practical and technical aspects of office administration including issues related to budgeting, supply management and purchasing, personnel administration, time keeping, data processing, project tracking and files management. Understanding of budgeting, purchasing, personnel and information processing. Assists FMS Leadership with clerical, statistical, and data entry tasks in support all programs in the service, using an automated data processing (ADP) system to create and delete files, search files and records, store or extract material from a variety of software packages to include Word processing software and spreadsheets to transmit large amounts of information, and generate cumulative, statistical, tabular, narrative and graphic reports. Operates technical and specialized computer programs toward accomplishment of the service's mission with minimal supervision. Responsible for a variety of clerical assistance functions in support of the office. Receives visitors, telephone calls, distributes incoming mail and correspondence. Maintains supervisors' calendars. Schedules meetings and conferences pursuant to the events on supervisors' calendar. Reviews outgoing correspondence for conformance with general policy, factual correctness, adequacy of grammar and related mechanical features. Work Schedule: Monday - Friday, 7:30am to 4:00pm Position Description Title/PD#: Administrative Support Assistant/PD08672O Physical Requirements: The work is primarily sedentary but also requires some standing, walking, bending, lifting and carrying of light items. The work requires above average agility and dexterity.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-7 grade level: One year of specialized experience (equivalent to the GS-6 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Able to type 40 words per minute and using various Microsoft Office programs Data collection and tracking support Administrative support Managing mail, correspondence, appointments and calendars There is no educational substitution for the GS-7 Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
