The Program Assistant will work as a team member for the Surgery Service. The Program Assistant operates at a level of responsibility that requires independent actions within a broad program directives and supervisory guidelines. Performs a wide variety of administrative work associated with maintaining and supporting the work performed within the Podiatry section, training, residency, and fellowship programs.

Duties

Duties include but not limited to: Assist in the preparation of reports and tracking pertaining to workload/productivity Tracks, maintains and provides follow-up regarding resident supervision performance measures, continuing education/webinars, and resident outside rotation evaluation Assists supervisor and management in facilitating and tracking the onboarding process for residents and liaisons with HR and affiliated programs to ensure all requirements are complete. Tracks routine deadlines initiated by internal and external services reviewing documents ensuring timely submission of responses and actions. Responsible for maintenance of office operations and overall systems flow and for programmatic requirements Coordinate regularly with the Affiliations office reference in processing of clerkship students from podiatry schools nationwide and in-processing of future Podiatry Resident Coordinates. tracks, and facilitates completion of residency application packets for incoming residents, resident promotes. and externs in a timely. manner. Includes all items on the residency packet checklist, training. credentialing. security check, in-processing. etc. Works in collaboration with the Business Manager and department staff to collect and track statistical information for the clinical program operations. Able to problem solve and determine potential problem areas and make recommendations to correct theses areas to improve coordination between the various units and or offices. Develops methods for automating administrative reports, considering the interrelationship of reports and multiple use of data sets. Assist in the planning, reviewing and reporting data/ statistical results of program/projects. Acquires the equipment and services, determining the correct purchase method, conducts appropriate follow-up on orders, as needed, and ensures timely reconciliation of purchase card orders. Utilize Microsoft Office Suites to develop various spreadsheets, documents, and presentations to support management Draft and format memorandum and other correspondence for service. Serves as ADPAC for department, entering IT requests for network accounts, PIV cards, etc. Prepare, maintain, and ensure accuracy of time and attendance reports via VATAS and provide staff assistance on payroll regulations. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Work Schedule: Monday - Friday - 8:00am to 4:30pm, subject to change depending on the needs of the agency. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/04/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. For the GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
