The incumbent serves as the Management and Program Assistant. The incumbent provides administrative support to upper management and clinical services. The primary purpose of this position is to provide support to the Care in the Community program.
Duties
Major duties and responsibilities include, but are not limited to:
Serves as the primary assistant to the manager in support of the organization in the areas of the program assistance, administrative services and functions as the office manager.
Serves as primary contact person for patients, patient inquiries, referring physicians, and other agencies. Receive telephone calls, provide information, answer questions and direct calls and visitors to appropriate official.
Maintains the calendars and schedules appointments based upon personal knowledge of workload.
Perform administrative tasks using word processing, spreadsheet, database management, graphics (charts), and communications software for a variety of documents and correspondence.
Performs work related to the practical and technical aspects of office administration including issues related to budgeting, supply management and purchasing, personnel administration, time keeping, data processing, and project tracking.
Prepares, files and retrieves correspondence, records and other confidential data.
Uploads HR actions (classification requests, recruitment requests, etc.) into WebHR or MSS and LEAF.
Assist in assembling background information, reports, and attachments by obtaining information from staff, literature, and files.
Performs other related duties as assigned.
Work Schedule: Monday - Friday, 8:00am - 4:30pm. Subject to change based on agency needs.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/08/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Uploads HR actions (classification requests, recruitment requests, etc.) into WebHR or MSS and LEAF or related HR databases. Coordinates presentation of special awards, service pins, incentive awards, and complimentary letters during staff meetings. Assist in planning meetings or conferences and coordinate the development of its agenda. Performs work related to the practical and technical aspects of office administration including issues related to budgeting, supply management and purchasing, personnel administration, time keeping, data processing, and project tracking. Perform administrative tasks using word processing, spreadsheet, database management, graphics (charts), and communications software for a variety of documents and correspondence. Use and develop PowerPoint and MS Office documents and presentations. Maintains the calendars and schedules appointments based upon personal knowledge of workload. Ensures that the Service leadership is fully briefed on matters to be considered before the schedule meeting. Receive telephone calls, provide information, answer questions and direct calls and visitors to appropriate official.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary. Some periodic walking, sitting, and carrying of light items such as instructional materials, books and manuals are required.
