You will serve as a ADMINISTRATIVE SUPPORT ASSISTANT (Office Automation) in the Office of the Fleet Judge Advocate of COMMANDER US PACIFIC FLEET.

Duties

You will assist the Fleet Judge Advocate (FJA) and N01J staff, and the Fleet Counsel and N01L staff by performing various administrative and clerical duties in support of the mission, including redacting documents and other duties as assigned. You will review and prepare incoming and outgoing administrative correspondence, reports, and messages. You will collect data for the office operating budget, review for proper format and compliance with agency budget requirements, and consolidate material into an annual office budget. You will use multiple office automation software to produce a range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating existing databases or spreadsheets. You will independently make extensive travel arrangements using Defense Travel System (DTS), such as scheduling transportation, making reservations, and preparing travel orders and vouchers in accordance with appropriate travel regulations. You will perform as a Notary Public under guidelines of state laws and Navy directives, performing tasks such as ascertaining identity of individual, reviewing legal documents, certifying official documents, and acknowledging signatures. You will update the office supply source catalogues; purchase supplies, equipment, and services in accordance with application regulations and procedures. You will receive office visitors, manage the Fleet Judge Advocate's (FJA) schedule, track supply inventory, type, file, answer the phone, and maintain local administrative records. You will also serve as building manager and technology point of contact for the legal office. You will handle administrative tasks related to Freedom of Information Act (FOIA) requests, including use of FOIA online to process FOIA requests.

  • You will be required to obtain and maintain an interim and/or final security clearance prior to entrance on duty. Failure to obtain and maintain the required level of clearance may result in the withdrawal of a job offer or removal.
  • This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites. You must be able to travel on military and commercial aircraft for extended periods of time.

Qualifications

Your resume must demonstrate at least one year of specialized experience at or equivalent to the (GS-06) grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: providing administrative support and managing workflow in an office setting to include preparing or reviewing office budget reports including travel, supplies, or administrative programs; procuring office supplies or equipment; arranging travel using an automated travel system such as Defense Travel System (DTS); utilizing advanced software and hardware and extracting data from a database to prepare documents with complex formats and graphics; preparing official military correspondence; willing to serve as a Notary Public; interacting with customers at all levels; and support military judicial proceedings. This position requires the ability to type at least 40 words per minute.
