The position is at the full performance level located in the (Greater Los Angeles Healthcare) VA Medical Center (VAMC) in the (Mental Health Department). The primary purpose of the of this position is to provide administrative & program support to VA GLA Mental Health Department. The incumbent is the administrative liaison/link between various Mental Health programs & is under the direct supervision of the ACOS Mental Health with delegated authority to Mental Health Education Section leadership.
Duties
Provides administrative support and assistance to the Training and Education Programs within the Mental Health Department under the supervision of the Deputy Chief of Mental Health for Education.
Provides advisory services on administrative activities and works collaboratively on all administrative management matters associated with the program.
Advises on and recommends courses of action pertaining to administrative issues.
Works in partnership with managers to prepare responses to correspondence in the department.
Performs administrative work which includes management of an office schedule;
Works with senior management to develop long- range management plans for the efficient and effective operation of the department. Works with clinical and administrative leadership to develop plans to ensure timely submission of all departmental time-sensitive reports.
Handles communication with persons and/or groups within and outside of the department.
Acts as primary liaison with critical persons and groups both inside and outside the department.
Prepares and edits manuals, policies, program descriptions, brochures, long-term schedules, confidential performance evaluations, manuscripts for publication, consultation, memoranda, reports, physician proficiencies, Compensation Panel Actions, etc. Maintains physician files, as necessary.
Coordinates the operating budget, reviews documents for missing or incompatible information, assembles and prepares forms and other paperwork that make up a file.
Serves as a primary timekeeper for Mental Health Department & Education. Reviews time and attendance reports for employees and assures reports are correctly entered.
Assist with purchases and inventory.
Work Schedule: Monday thru Friday 8:00am to 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/21/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: that is directly related to the work of the position and has equipped you with the primary purpose of the of this position is to provide administrative and program support to VA GLA Mental Health Department. The incumbent provides administrative support and assistance to the Training and Education Programs within the Mental Health Department under the direct supervision of the Deputy Chief of Mental Health for Education. Specialized experience includes Provides advisory services on administrative activities and works collaboratively on all administrative management matters associated with the program. Actively participates with a team in meeting departmental goals. Obtains, organizes, files, and retrieves reports, correspondence and numerical data for use in preparing status reports, briefings, and presentations. Analyzes workflow to determine potential problem areas and makes recommendations to correct these areas and to improve coordination between the various units and/or offices. Preparing necessary reports as required. Incumbent maintains physician files, as necessary. Serves as a primary timekeeper.

Physical Requirements: The work requires no special physical demands. It may involve some walking, standing, bending, or carrying of light items.
Work Environment: Work is typically performed in an adequately lighted and climate-controlled office. May require occasional travel to and from other GLA sites.
