The Program Support Assistant position provides administrative support to Associate Chief of Staff for Education Service Line leaders (i.e. Informatics, Emergency Medicine, Employee Occupational Health, Academic Affiliations, Fast Track, 5 CBOCs) and staff located at the VA Central Iowa Health Care System. The position is physically located in the Associate Chief of Staff for Education Service Line office suite adjacent to the offices of the Service Line Chief and Administrative Officer.
Duties
Duties include:
Screens calls and visitors to the ACOS/E Service Line, determining which calls can be handled immediately and which should be directed elsewhere.
Coordinates the processes required for interviews, onboarding, and orientation for new employees into the VA.
Submits OI&T help desk tickets for computer issues.
Tracks, routes all documents regarding Travel, Trainings, Continuing Medical Education and Authorized Absent requests.
Maintains employee files (License, BLS, TMS, ACLS and all personal documents).
Edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, takes meeting minutes, prepares public presentation outlines, and develops standard or form letters and replies to inquiries.
Provides service line leadership with the data collection, data management and data reporting monitors necessary to measure clinical and administrative improvement initiatives within the service line.
Tracks the inventory of all equipment in the service line.
Serves as service line primary PIV manager, sponsor, and PIN resetter.
Serves as primary service line timekeeper for the service line.
Serves as the Contracting Officer Representative for the Service Line, completing and signing documents for eCMS.
Coordinates the service line equipment requisition process.
Collecting, compiling and/or tracking data and statistical information required to monitor service line programs or initiatives.
Performs a basic analysis of data and generates a variety of reports.
Performs other duties as assigned.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: 7:30am-4:00pm or 8:00am-4:30pm, Monday-Friday

Qualifications

Proficiency Requirements: In addition to meeting experience requirements, applicants for this position must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. Applicants must meet the proficiency of 40 words per minute typing speed.

GS-06:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: scheduling appointments; screening calls and visitors and providing necessary information according to policy; utilizing office automation software to format letters and reply to inquiries; collecting, compiling, and tracking data and statistical information to monitor health care programs and improvement initiatives.
GS-07:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: scheduling appointments, meetings, and conferences; taking meeting minutes; screening calls and visitors and providing necessary information according to policy; utilizing office automation software to prepare presentation outlines, format letters, and reply to inquiries; performing timekeeping duties of an office; collecting, compiling, and tracking data and statistical information to monitor health care programs and improvement initiatives; performing data analysis and generating a variety of reports based on analysis.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements/Work Environment: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending carrying of light items such as papers, books, small parts or driving an automobile, etc. No special physical demands are required to perform the work. The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms or libraries. The work area is adequately lighted, heated and ventilated.
