The position serves as an Administrative Assistant (OA) to the Nursing Informatics Supervisor in the Informatics and Analytics Section at the Mann-Grandstaff VA Medical Center (MGVAMC).

Duties

Ability to compose oral and written reports and presentations. Review documents and applications for omission and inconsistencies. Coordinate calendar meetings and conference calls. Track/Route ensure completeness of documents. Thorough and detailed knowledge of the principles of effective communication including tact and diplomacy in dealing with very sensitive issues. Develop, manage, and monitor time sensitive documents. Record and compose meeting minutes and managing communication and follow-up tasks for assigned committees. Ability to communicate a clear, concise, and logical explanation of information in oral and written format. Demonstrate timekeeping for a large clinical service. Organize and maintains administrative files, manuals and policy binders. Communicate with clinical staff, managers, and service line leaders. Communicate with other medical agencies and other accreditation agencies to meet the requirements of the VA and the contracts/affiliations with other clinical/educational agencies. Prepare travel documents for large interdisciplinary service. Work Schedule: Monday-Friday 8:00am-4:30pm Position Description Title/PD#: Administrative Support Assistant (OA)/PD704990 Physical Requirements: The work involves sitting, using a personal computer, orientation of new employees, and participating in one-one and group discussions in person, over the telephone and occasionally through video teleconferencing. Light lifting and carrying is required, less than 15 pounds, for items such as reports, binders and supplies. Work Environment: The majority of work is performed in office settings, either the AA's or other stakeholders' offices. This involves primarily the administrative area of Informatics and Analytics section on the grounds of MGVAMC. On occasion, the AA responsibilities require travel to off-campus locations to include travel to Community Based Outpatient Clinics and Rural Health Clinics. Extensive use of computers is required. The work often requires meeting short deadlines with maximum accuracy. Competing priorities are constantly present.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-05 grade level: One year of specialized experience (equivalent to the GS-04 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: coordinate administration and business functions; collaborate with managers and supervisors; perform data processing in electronic programs, maintain files, prepare spreadsheets and reports using computer software systems; utilize office equipment including computer, printer, fax machine and additional office equipment. OR, Applicants may substitute education for the experience required for the GS-05 level: You musthave successfully completed 4 years above high school. (TRANSCRIPTS REQUIRED) OR, Applicants may also combine education and experience to qualify at the GS-05 level. To calculate, first identify the percentage of required education you have earned (when substituting, you cannot use the first 60 semester hours that you earned). Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-XX. For example, an applicant who has 9 semester hours of graduate level education (i.e. 50% of graduate education required) and 6 months of creditable specialized experience (i.e. 50% of the required experience) would equal 100% of the required experience for the position A transcript must be submitted with your application if you are basing all or part of your qualifications on education. (TRANSCRIPTS REQUIRED) Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
