The incumbent will serve as an Administrative Support Assistant (OA) for the Administration Department at the Claremore Indian Hospital, in Claremore, OK. The primary responsibilities of the position are to perform a wide variety of administrative tasks, including managing correspondence, ordering, and tracking supplies, or other services. This position reports to the Ambulatory Care Director.
Duties
Receive, assess, and handle incoming and outgoing materials and written communication.
Perform office automation duties, including preparing reports, forms, correspondence, and presentation materials.
Manage the appointment and meeting schedule for the Ambulatory Care Director, the Administrative Officer, and other senior staff members as directed.
Compile, organize, and track program data and maintain required records and files in accordance with IHS Records Management Policy.
Serve as point-of-contact for scheduling meetings for conference rooms, schedule appointments, coordinate meetings, and/or schedule conferences.
Qualifications

MINIMUM QUALIFICATIONS:
Your application must clearly demonstrate that your experience meets the below listed requirements for the specific grade level(s) you are applying to. Your work experience must be equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the type of work and/or tasks as stated below for the grade level(s) you are applying to:
GS-06:
Your resume must demonstrate that you possess at least one (1) year of full-time specialized experience comparable in difficulty and responsibility to the GS-05 grade level that equipped me with the knowledge, skills, and abilities to successfully perform the duties of this position. Experience includes: performing technical administrative tasks in the areas of correspondence management, office automation, data collection, and tracking information; managing calendars and meeting schedules for higher level staff; making travel arrangements and/or preparing travel orders in automated system; and proficient in the following applications: Excel, Word, Adobe Acrobat, and Microsoft Outlook.
GS-07:
Your resume must demonstrate that you possess at least one (1) year of full-time specialized experience comparable in difficulty and responsibility to the GS-06 grade level that equipped me with the knowledge, skills, and abilities to successfully perform the duties of this position. Experience includes: performing technical administrative tasks in the areas of correspondence management, office automation, data collection, and tracking information; managing calendars and meeting schedules for higher level staff; performing specialized office tasks in support of a unit including preparing training orders, making travel arrangements, and ordering supplies; serving as point of contact for an organizational unit and updating or maintaining personnel files; and proficient in the following applications: Excel, Word, Adobe Acrobat, and Microsoft Outlook.
Typing Proficiency:
Applicants must also meet the following proficiency:40 words per minute typing speed based on a five minute sample with three or fewer errors.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
