The HR Strategic Business Unit is looking for a customer service and organizational champion to serve as the section Secretary at our Murfreesboro, TN location. Duties

The Secretary is the keystone of our operations and performs a variety of clerical and administrative duties which are essential to our work and mission. The position reports to and supports the HR Senior Strategic Business Partner in addition to providing limited support to virtual HR Staff along with those in the office. This position is also the face and voice of HR to employees, new hires and others. This position operates independently of any other position in the office. Any successful applicant for this position will need to be creative, self starting, driven and customer/team focused with a dedication to the VA's ICARE values. Additional duties include, but are not limited to the following: A highly qualified candidate will have experience and advanced skill with Adobe (editing and preparing documents); Microsoft Teams, SharePoint, Outlook and other Office Suite applications. In addition - the knowledge and use of office automation equipment, software, inventory principles and customer service is paramount. Performing a variety of administrative support duties, making complete arrangements for large groups, composes complex but non-technical correspondence locating and assembling information for various report, briefings, training, etc. Serves as the primary contact for the SBU and receives visitors and telephone calls. Determining the nature of the requests and directing callers and visitors to appropriate staff, or personally provides the information desired to maters regarding work process of the office and resolving problems on his/her own accord. Reviewing documents prepared for signature by Strategic Business Partner (SBP)/Human Resources Officer (HRO) and/or the Director for conformance with regulations, grammar, format and special policies as established. Ensuring all necessary background material is attached. Serves as the primary timekeeper for the service, the incumbent accurately and in a timely manner enters data for all TVHS SBU staff. Responsible for SBP staff travel arrangements, to include travel orders, transportation, hotel reservations, itineraries, and preparing travel vouchers for payment. Maintains SBP calendars, schedule appointments, arrange conferences, meetings, organize and man maintaining paper and electronic files. Coordinates agenda, prepares, distributes and maintains minutes of all meetings and follows-up on all identified action items, coordinating response dates. Responsible for maintaining a comprehensive filling, records keeping and tracking of reconciliations, documents, memos, inquiries, certifications signed by the SBP. Organizes and maintains files and records, manuals, handbooks, and other related materials in addition to maintaining equipment and supply inventory. Primary purchase card holder. Work Schedule: Monday - Friday 8:00 AM - 4:30 PM Compressed/Flexible: May be Authorized by supervisor. Telework: Adhoc telework is for emergency situations. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 2/9/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05.The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Filing, copying, sorting, faxing, mailing; receiving and accurately routing internal/external communication; preparing meeting agendas; establishing a filing system for easy retrieval of all follow-up actions; recording accurate minutes; scheduling travel arrangements; preparing memorandums, reports, appraisals and other requested items utilizing VA associated software; identifying and organizing materials requiring expeditious review, responses and requests; maintaining extremely sensitive materials and maintaining confidentiality of all correspondence reviewed; providing administrative support to programs, timekeeper, and other VA web based programs. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
