The Program Support Assistant for Guest Relations participates actively in support of the service, ensuring that all clerical and administrative responsibilities and functions/tasks are completed accurately and in a timely manner.
Duties

NOTE: This is a full-time, TEMPORARY (not-to-exceed 3 years) position. This appointment may be renewed for additional service in accordance with Agency needs. Temporary positions do not offer health or life insurance benefits and may be terminated at any time before the expiration date. The appointment to a temporary position does not confer eligibility for promotion or reassignment to other positions or the ability to be non-competitively converted to permanent employment.
Duties include, but may not be limited to the following:
Receiving/directing visitors and telephone calls to the appropriate office.
Receiving and screening all incoming correspondence and either independently answering it or forwarding it with proper attachments to the official responsible for the activity concerned.
Preparing forms, memorandums, reports, and other correspondence, ensuring proper grammar, spelling, and format.
Interviewing customers to identify needs, expectations, problems and/or situations where the customers' needs are not being met.
Reviewing Personnel Actions of all support personnel this includes but not limited to recruiting, termination, promotions, tour changes, advance leave, leave with-out pay and other leave request.
Responsible for organizing budget review reports for service budget review.
Recognizing trends and making recommendations verbally or written, which will be used to implement new or improved procedures in providing quality customer service.
Designated as the TMS (Talented Management System) administrator for Guest Relations.
Providing direct planning, training, and technical support to users of TMS with-in the service.
Having the ability to multi-task, prioritize and manage time effectively.
Performing other related duties as assigned.
Work Schedule: Full-Time, Monday through Friday, 7:00am - 3:30pm

Qualifications
To qualify for this position at the GS-6 level, applicants must meet the following:
Specialized Experience: You must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-5) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of a Program Support Assistant and that is typically in or related to the work of this position. Specialized experience includes: receiving and directing customers (patients, staff, family, vendors, other government and nongovernment officials, etc) in an efficient, expedient and pleasant manner; setting priorities and organizing work; identifying and analyzing issues and developing recommendations to resolve problems; ensuring compliance with established processes, policies and regulations; communicating tactfully and effectively both orally and in writing to meet program objectives; utilizing computer programs; and preparing reports in various formats and presenting data to various levels. This experience must be detailed in your resume to receive credit.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: Work is sedentary. The employee may sit comfortably to do work. There may be some walking, standing, bending, carrying of light items such as papers and manuals. No special physical demands are required to perform the work.
