The position is located in the Division of Financial Management Branch with the Gallup Indian Medical Center in Gallup New Mexico. This position serves as the principal secretary and administrative support for the Division Financial Management Branch.
Duties
The individual serves as the Secretary and Administrative Assistant to the department and is responsible for performing a variety of secretarial and administrative duties within the Division Financial Management Branch.
Knowledge of an automated integrated time and attendance system or similar systems and be familiar with established rules and regulations pertaining to time and attendance. Reconcile and verify time and attendance records for all department personnel. Routinely responsible to maintain a register of all overtime and COMPTIME usage per staff for the supervisor.
Maintain GSA vehicle assigned to the department by coordinating preventive or routine maintenance and complete monthly vehicle usage and fuel consumption report. Prepare Request and Approval for Use of Motor Vehicle.
Responsible for entering departmental travel authorizations and initiating travel vouchers into the operable travel management system with working knowledge of federal travel regulations. Prepare a manual travel order (HHS-1) for local travel for the staff on an annual basis.
Order recurring supplies for the Division from General Services to maintain adequate par levels. Maintain inventory records of computer peripherals, hardware and office equipment. Informs division of any missing items and accounts for resolution.
Responsible for entering departmental requisitions into the operable accounting system and/or generate the appropriate manual requisitions for credit card purchases. Work closely with procurement, accounts receivable, accounts payable, budget, general services, human resources and other relevant departments.
Qualifications

You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
GS-05: Applicant must successfully complete 4 year above high school leading to a Bachelors Degree -OR- Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Applies knowledge of software functions to produce a wide range of documents, such as graphics or tables, to edit and/or reformat electronic drafts, and to update or revise existing databases or spreadsheets. Performs tasks required to maintain electronic records, e.g., calendars, directories, spreadsheets, and databases, and/or to produce various items, e.g., correspondence, memos, publications, manuscripts, reports, or forms, in draft or final form. Composes routine correspondence. Proofreads/edits documents for correct grammar, spelling, capitalization, punctuation, and format. Ability to prepare travel arrangement/authorization and travel vouchers.
Typing Proficiency Requirements:
In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. Must submit a copy of your certification.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
You must meet all qualification requirements within 30 days of the closing date of the announcement.
