The Administrative Support Assistant (OA) provides sole clerical and administrative support for the entire Surgery/Specialty Care (SSC) Integrated Clinical Community (ICC). The employee advises and assists the Service Line Director of the practical and technical aspects in formulating policies and procedures, implementing and maintaining service and program goals.
Duties
Major duties include but are not limited to:
Draft memos, letters, and commendations and notifications as necessary within established timeframes.
Quickly respond to requests for information.
Transcribe and compose correspondence for the Service Line Director.
Receive and screen incoming correspondence, reports, and patient information.
Establish and maintain communication with the appropriate staff at local community medical facilities.
Maintain an up-to-date and comprehensive paper and digital filing system for the ICC documentation.
Use computer programs for collection, storage, and retrieval of information for staff.
Prepare monthly ICC meeting agendas and summarize meeting minutes.
Coordinate and conduct orientation of new employees.
Prepare policies and procedures for the ICC.
Maintain/track leave requests, timekeeping worksheets, and systems of record for payroll.
Prepare calendars and telephone listings, facilitating implementation of processes pertinent to the product line.
Assists in the coordination and implementation of Quality Assurance monitoring and evaluation activities.
Work Schedule: Monday - Friday, 8:00am - 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes but is not limited to: performing various administrative duties (such as responding to requests for information, preparing calendars, timekeeping); utilizing various computer systems to collect, compile, track, retrieve, and/or report information; preparing various correspondence; and collaborating with various groups (i.e., Surgeons, patients, clinical staff) to ensure timely communication regarding schedules.
AND
Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience requirements, you must be able to type at least 40 words per minute.
There is no educational substitution for the GS-06 level.
