The program Support Assistant position is located in the Physical Medicine and Rehabilitation Service at the West Los Angeles site of the VA Greater Los Angeles Healthcare System. The incumbent is responsible to serve as Program Support Assistant for the PM&R Service Administrative Offices (Administration). The incumbent will provide a broad range of staff assistance to and under the supervision of the PM&R Administrative Officer.

Duties

Duties include but are not limited to: The incumbent reviews, coordinates, prepares all reports for the PM&R Service Programs, as well as the reports relating to the educational requirements by VACO, universities and other academic institutions. The incumbent performs a wide variety of administrative support and program support functions in various operational areas (such as budget, purchasing, records and files management, and reports, et cetera). The incumbent provides program administrative and technical assistance in the day-to-day operations, program planning for PM&R, and completes special projects as assigned. The incumbent assists with personnel requirement for appointments, competency folders, emergency contact information, updating departmental phone list and Talent Management System (TMS) records and time and leave keeping in VATAS. The incumbent Organizes and maintains current, accurate and confidential files. Resolves complaints and issues and refers more serious and or complex issues to higher level manager or an appropriate management official. The incumbent assists with coordination, planning, and implementation and/or processing of the following: new house staff orientation, Human Resource (HR) security processing and onboarding; clinic scheduling; credentialing for past and present house staff; evaluations for faculty and house staff; annual curriculum with didactics activities; attendance and duty hour compliance records; on-line procedure logs; and ongoing maintenance of house staff files. The incumbent compiles, analyzes and submits data under instructions of PM&RS Administrative Officer and Chief. The incumbent maintains on ongoing record of all correspondence, complains and congressional inquires for the service. The incumbent assists with the coordination of conference participation for the PM&RS. The incumbent is responsible for maintaining an ongoing record of correspondence, institutional reviews, program reviews, bulletins and recommendations for PM&RS. The incumbent drafts letters/correspondence regarding PM&R Service issues for signature by Chief and Administrative Officer. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/07/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: performing clerical/administrative duties in an office environment; answering and directing phone calls; preparing correspondence; maintaining files/records; and using a computer to perform a variety of support tasks. At this grade level, applicants should have good verbal and written communication skills and the ability to perform assignments independently with minimal oversight. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work requires no special physical demands. It may involve some walking, standing, bending, or carrying of light items. The incumbent has the ability to type at least 40 words per minute in order to efficiently create narrative documents and various correspondence. Work Environment: The work is performed in an office or similar setting requiring normal safety precautions against everyday risks or discomforts. May require occasional travel to all GLA sites and affiliated institutions to execute tasks related to the incumbent's areas of responsibility.
