You will serve as a SECRETARY (OA) in the OFFICE OF THE DIRECTOR of DDHBAP ASIA PACIFIC CENTER FOR SECURITY STUDIES. This is a RE-ADVERTISEMENT of Announcement Number: st-12270973-24-JEH. Applicants that have previously applied NEED to re-apply to this announcement.

Duties

You will perform administrative assistance and secretarial support to the Director and Deputy Director. You will participate in the overall management of the office and handle sensitive liaison on policy and personnel matters with discretion. You will maintain the Director's and Deputy Director's daily appointment calendar, arrange meetings, schedule priorities and interests. You will screen, compose, prepare and finalize standard and executive correspondence and administrative replies for the Director's rand Deputy Director 's review and signature. You will track suspense dates for matters requiring compliance. You will receive and screen all telephone calls and visitors to the Director's and Deputy Director's office. You will ensure certification for all employee timekeeping and conduct prior pay adjustments as necessary. You will coordinate airline itinerary, travel orders, hotel and rental car arrangements for the Director and Deputy Director.

Requirements

  • Must be determined suitable for federal employment.

  • Generally, current federal employees applying for GS jobs must serve at least one year at the next lower grade level. This requirement is called time-in-grade. Time-in-grade requirements must be met by the closing date of this announcement.
  • Within the Department of Defense (DoD), the appointment of retired military members within 180 days immediately following retirement date to a civilian position is subject to the provisions of 5 United States Code 3326.
  • Males born after 12-31-59 must be registered for Selective Service.
  • You will be required to obtain and maintain an interim and/or final security clearance prior to entrance on duty. Failure to obtain and maintain the required level of clearance may result in the withdrawal of a job offer or removal.
  • This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites. You must be able to travel on military and commercial aircraft for extended periods of time.

Qualifications

Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-08 grade level or pay band in the Federal service or equivalent experience in the private or public sector: managing executive calendar, scheduling appointments, screening and prioritizing visitors, making travel arrangements, and managing all correspondence to ensure a department runs smoothly and efficiently. This position requires the ability to type at least 40 words per minute. Your response to the typing skill question on the Occupational Questionnaire will be used in your qualification determination. Education

In lieu of general/specialized experience, you may qualify with the following education or combination of both education and experience:

Successful completion of two academic years of progressively higher level graduate education directly related to the work of the position.
OR
A combination of experience and education as described above that equates to one year of experience.
