Incumbent is the Lead Program Support Assistant for the Home & Community Case and Geriatric Programs for the VA Texas Valley Coastal Bend Health Care System. This position is responsible for leading, distributing and balancing workload among Program Support Assistants and File Clerk positions. Incumbent oversees workload, and coordinates all administrative patient data reports.

Duties

Major Duties: Monitors and maintains Home and Community Cased Care data. Independently identifies and resolves problems according to program guidance and policies. Works as a productive team member with program members and non program members to resolve customer complaints or concerns. Gathers and analyzes a variety of program data and is responsible for collecting, compiling and tracking statistical information in support of program goals. Processes incoming and outgoing materials such as correspondence, reports, memorandum and other form of written communication. Uses software applications to draw information from a large variety of sources in order to prepare relevant reports. Assists with information for referrals both in the community and within the system to ensure Veteran goals are met. Organizes and maintains administrative files, manuals and policies relating to program. Utilizes a variety of software programs and communication tools to input and retrieve data as required. Coordinates meetings and schedules conferences and teleconferences in support of program. Communicate clear and accurate information with outside hospitals, community providers, VA staff, veterans and their families. Responsible for managing equipment to ensure efficient operations. Performs direct on-the-job training to new employees in accordance with established procedures and practices. Other duties as assigned. Work Schedule: 8am-4:30pm, Monday-Friday Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/05/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: knowledge of agency regulations and procedures, knowledge of elements that constitute the various levels of care, knowledge of the duties of the staff and programs of the office to perform non-routine assignments such as location and summarizing information from files and documents, knowledge of basic medical terminology, knowledge of VISTA, knowledge of timekeeping, and ability to establish workflow methods and procedures. You will be rated on the following Competencies for this position: Database Management Problem Solving Customer Service Clerical Communication Teaches Others Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary.? Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work.? Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site.? Incumbent may carry and lift light items weighing less than 15 pounds.
