Duties
As an EXECUTIVE AND ADMINISTRATIVE SPECIALIST at the GS-0301-12/13 some of your typical work assignments may include:
Serves as the directorate's office manager and personal assistant to the Director, Information Integration & Technology Services (IT)/Chief Information Officer (CIO) a Senior Executive Service (SES) position, with responsibility for overseeing overall administrative support operations for the directorate and its subordinate organizations.
Exercises judgment and diplomacy in independently evaluating and prioritizing the urgency and importance of unforeseen demands affecting the IT Director/CIO's schedule.
Determines appropriate format and administrative processing requirements for a variety of documentation and correspondence, including informational briefings and updates, user guides, policies, procedures, presentations, spreadsheets and associated graphics, charts and diagrams.
Provides advice and assistance to staff members on proper marking, handling, storage, and disposition of documents.
Serves as timekeeper and Defense Travel System (DTS) scheduler/coordinator for the senior IT staff to include the Deputy IT Director, Department Chiefs, Division Chiefs, and Senior Staff Officers, and in the capacity of either a directorate level Organizational Defense Travel Administrator (ODTA), Authorizing Official (AO), or Reviewing Official (RO).
Serves as Government Travel Charge Card Program (GTCC) Agency Program Coordinator (APC) and directorate a Government Purchase Card Program (GPCP) APC.
Creates, organizes, and hosts organization and directorate virtual functions and meeting using various government licensed commercial collaboration tools.
Provides administrative support to the Enterprise Task Management Software Solution (ETMS2) within the Directorate, coordinating the assignment, distribution, tracking and close-out directorate ETMS2 taskers, as well as maintain accountability of the assignment of Directorate ETMS2 licenses.

Qualifications
You may qualify at the GS-13, if you fulfill the following qualifications:
One year of specialized experience equivalent to the GS-12 grade level in the Federal service:
Experience serving as an office manager and Executive Assistant (EA) overseeing administrative support operations; performs a wide variety of analytical and technical administrative functions; analyzes, conducts research, and consolidates information to make recommendations; comprehensive knowledge of the Defense Travel System (DTS) program, Government Travel Charge Card Program (GTCC), Government Purchase Card Program (GPCP), Task Management, and automated timekeeping procedure as an Agency Program Coordinator.
Experience utilizing the Procurement Integrated Enterprise Environment (PIEE) and expertise as both a GPCP cardholder and GPCP AO.
Experience with EA functions of calendar management, scheduling, prioritization, and multi-tasking.
Experience with office productivity and collaboration tools, such as Microsoft Word, Excel, Powerpoint, and Teams.
Experience with event management and execution for events held both in-person and virtually.
Experience utilizing the Enterprise Task Management Software Solution for assignment, distribution and reconciliation of administrative tasks.

One year of specialized experience equivalent to the GS-11 grade level in the Federal service:
Experience assisting with the duties of an office manager and Executive Assistant (EA) overseeing administrative support operations; performs a wide variety of analytical and technical administrative functions; analyzes, conducts research, and consolidates information to make recommendations; comprehensive knowledge of the Defense Travel System (DTS) program, Government Travel Charge Card Program (GTCC), Government Purchase Card Program (GPCP), Task Management, and automated timekeeping procedures.
Experience assisting with EA functions of calendar management, scheduling, prioritization, and multi-tasking.
Experience assisting with office productivity and collaboration tools, such as Microsoft Word, Excel, Powerpoint, and Teams.
Experience assisting with event management and execution for events held both in-person and virtually.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Education
Substitution of education may not be used in lieu of specialized experience for GS-12 & GS-13 grade level.
