The incumbent is responsible for providing support in the development, implementation, and coordination of SR/Pl policies, Patient Safety, Risk Management, QM policies and procedures, training, and project completion/sustainment throughout the organization. Incumbent effectively interacts with all level of staff within the organization, VISN, and nation in support of the section. This includes assisting in analyzing projects and studies.

Duties

Performs office automation duties using software applications such as Microsoft Office Suite. Assists with policy development and/or technical program activities of the organization. Prepares meeting minutes and agendas. Completes timekeeping responsibilities based on quality standards prescribed by VHA and VTAS. Manages Quality System's electronic and paper document/file program. Processes all incoming and outgoing communication, to determine the nature of information to be provided or received and implement appropriate actions within their scope of responsibility. Skill in communicating with supervisors, other Service Chiefs, Veteran patients, VISN and Central Office staff, and employees to obtain information about organizational missions, function, and work procedures in order to assist in problem solving. Work Schedule: Monday to Friday (8:00 - 4:30pm) Position Description Title/PD#: Program Support Assistant/PD516-11194-A and PD516-11193-A Physical Requirements: Regular and recurring work is mostly sedentary involving sitting at a desk. The incumbent works with a computer screen and keyboard. Physical effort may be required when transporting ordered materials or coordinating physical space moves. The work also involves some standing; bending and reaching; manual dexterity, including typing and managing paper forms; use of a computer/keyboard and driving a gold cart or automobile on the campus. There may be a certain amount of mental strain due to time constraints and frequent reviews and surveys by outside entities; therefore, mental concentration is essential to meet crucial deadlines. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. EXPERIENCE: A specific length of training and experience is not required, but you must show evidence of training or experience of sufficient scope and quality of your ability to do the work of this position. Evidence which demonstrates you possess the knowledge, skills, and ability to perform the duties of this position must be supported by detailed descriptions of such on your resume. Applicants will be rated in accordance with the OPM Federal Wage System Qualification Standards. Applicants must have one (1) full year of specialized experience related to this position. This experience must have been equivalent to at least the GS-05 grade level in the Federal Service. Specialized experience GS-6: Examples of specialized experience would typically include, but are not limited to: Performs a wide variety of administrative duties records management, Talent Management System (TMS), order office supplies and equipment, maintain material safety data sheets information, coordination of personnel actions, TJC employee folders. Process correspondence information control to processing documents. Schedules events staff to include meetings. Process meeting invitations, scheduling appointments, conferences, booking the room and/or location, and coordinating any other special needs required. Responsible for action items tracking to ensure deadlines are met. Serves as timekeeper. Applicants must have one (1) full year of specialized experience related to this position. This experience must have been equivalent to at least the GS-06 grade level in the Federal Service. Specialized experience GS-7: Examples of specialized experience would typically include, but are not limited to: Performs a wide variety of administrative duties records management, Talent Management System (TMS), order office supplies and equipment, maintain material safety data sheets information, coordination of personnel actions, TJC employee folders. Process correspondence information control to processing documents. Supporting in the development, implementation, and coordination of SR/Pl policies, procedures, training, and project completion/sustainment throughout the organization Schedules events for the staff to include meetings with non-VA personnel/visitors. Process meeting invitations, scheduling appointments, conferences, booking the room and/or location, and coordinating any other special needs required. Responsible for action items tracking to ensure deadlines are met. Maintains SharePoint and training calendar. Serves as the primary service timekeeper. SCREEN-OUT ELEMENT: Your qualifications will first be evaluated against the prescribed screen out element, which usually appears as question 1 in the on-line questionnaire. Those applicants who appear to possess at least the minimal acceptable qualification requirement are considered for further rating; those who do not are rated ineligible and are eliminated. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
