The VA Northeasts Ohio Healthcare System is recruiting for a Program Support Assistant. The Program Support Assistant will function in Sterile Processing Unit.

Duties

Duties include but are not limited to: The incumbent serves as the primary contact liaison on behalf Sterile Processing Unit. He/she ascertains the nature of callers/visitors, schedules appointments, meetings, makes appropriate referrals, communicates information to Service Staff, other services, internal and external entities, other facilities, VISN, national, colleges and universities, vendors, applicants, and others. He/she exercises good judgment and discretion while sharing information about the service, office processes, standard operating procedures, and other pertinent information. He/she applies this knowledge and discretion to resolve problems that may arise. The program support assistant serves as liaison and resource person to management and staff within the organization. Serves as backup timekeeper for two time and leave units (TL) posting time and attendance via the VATAS timekeeping system for employees on a daily basis. Handles routine and non-routine matters based on extensive knowledge of Environmental Management Service and facility programs, directives, and policies. Assistant Chief, Administrative Officer and 10 leadership staff with specific SPS projects which will include compiling data, preparing presentations, reviewing labor mapping, database management and statistical reports weekly monthly quarterly and annually. Assist Administrative Officer with planning for continued audit readiness for VISN, Joint Commission and National SPS by tracking and filing necessary documents and material. Will compile and disseminate materials to medical center staff as requested for regulatory standards and National SPS standards. Monitors the use of services, and supplies, and equipment for the service and reorders/restocks as necessary. Attends to all service and equipment related issues. Works with facility services regarding, non-expendable items or request, IT needs and issues, supplies housekeeping, etc. Will perform essential duties of the position and other duties as assigned by the Chief of SPS, Assistant Chief of SPS and Administrative Officer of SPS.All other Administrative Duties as assigned. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/09/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of Specialized experience includes Administrative and clerical work of an office, Utilizing word processing, spreadsheets, database, and software to manage information; Manages supplies and equipment by interfacing with supply, Maintaining time and attendance records, Performing data collection and preparing reports; and Receiving calls and visitors and directing them appropriately. You will be rated on the following Competencies for this position: Administration and Management Attention to Detail Clerical Conflict Management Customer Service Computer Skills Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Some work is accomplished at a desk in office surroundings* but must have the ability to climb stairs and carry small packages up to approximately 20 lbs., walking, standing, bending, and carrying of light items like papers or books.
