The Program Support Assistant (OA) serves under the supervision of the Specialty Medicine (AO). The incumbent will provide administrative and technical support and coordination to the Co-chiefs of Primary Care, Specialty Medicine, and CBOC's and program support to the following: Program/clerical support to medical staff and patients; Workers Compensation; Public relations with Veterans Services and outside agencies; and serve as Contract Officer Representative.
Duties
Major duties include but are not limited to:
Provides general clerical public contact support services such as answering the telephone, referring visitors, providing information, etc.
Screens calls and personally answers calls when the requested information concerns routine and procedural requirements.
Receives, sorts, and distributes incoming mail.
Prepares, submits, and completes travel requests for staff.
Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
Performs the following clerical duties: edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries.
Schedules appointments, coordinates meetings, and/or schedules conferences.
Provides general calendar maintenance clerical services such as maintaining calendars and recording appointments or arranging for meetings and small conferences.
Independently schedules supervisor/staff member time based on knowledge of preferences and current commitments.
Maintains appointment calendar, schedules appointments, reminds supervisor/staff members of the subject matter prior to the meeting and makes administrative arrangements as required.
Obtains and monitors the use of services, supplies or equipment for the office.
Provide accurate and timely recording and submission of time cards via electronic timekeeping system for full and part time employees, students, and residents.
Work Schedule: Monday - Friday, 7:30am - 4:00pm OR 8:00am to 4:30pm - desired tour of duty to be discussed and determined.
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for AD Hoc telework ONLY. Telework eligibility will be discussed during the interview process.

Qualifications

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one full year (52 weeks) of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Specialized experience is typically in or related to the position being filled. Examples of specialized experience include, but are not limited to: Preparing a variety of written correspondence, gathering program data and preparing reports; utilizing various computer programs/applications to input and provide data; performing timekeeping functions; preparing travel requests; organizing and communicating effectively through written and oral presentation.

*** TYPING Requirement/Proficiency: This position requires the ability to type 40 word per minute (WPM).
In addition to meeting experience requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. Applicants must meet the proficiency of 40 words per minute typing speed.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Work is primarily sedentary involving periods of moderate to heavy computer usage. Daily intermittent walking, standing, bending, stooping, reaching and carrying of lightweight items required. Rigid deadlines and need for high degree of accuracy periodically becomes stressful.
