The Medical Administrative Assistant- Administrative Officer of the Day is a management position, located in the Business Manager Office, whose responsibility is to represent both the Medical Center Director and the Business Office Manager on all administrative matters occurring when assigned to other than a normal tour of duty.
Duties
The VA Midwest Health Care Network advocates for a Whole Health System of care in each of the Medical Centers. Major Duties listed but not limited to:
Provides administrative authority, guidance, and advice to Medical Officer of the Day (MOD) and all other clinical staff concerning administrative matters necessary for operation of the medical center during other than normal tours
Provides information to the MOD on legal matters pertaining to eligibility and entitlement, guidance regarding administrative processes and procedures as they relate to patient care
Oversees Business Office personnel and activities during Weekend, Holiday, Evening and High (WHEN) hours, normally this includes telephone operators file room staff and other clerical personnel that might be on duty
Conducts Systematic Internal Reviews to determine whether or not various policies and procedures are being carried out in accordance with instructions and established program guidelines
Determines eligibility and entitlement for care through the interview and application process when necessary
Coordinate admissions to include maintaining accurate bed availability information, approve lodging for those who are eligible using sound judgment in special circumstances, coordinate transportation for those who are eligible and for those who require it
Coordinates physician's efforts in notifying family members of a patient's death. They counsel the family as to any benefits available and assist in making funeral arrangements
Serves as the facility telephone operator when the main switchboard is not in operation
Responsible for investigating untoward events or incidents, such as injury or abuse to patients, elopement of patients, loss of funds or valuables, loss of government property and/or injury to visitors
Administratively approves and coordinates tests and procedures which cannot be done at the medical center
Work Schedule: Monday - Friday, Rotating Schedules to fit need of position- Day Shift 6:00am - 6:00pm or 6:00pm- 6:00am. May include some weekends or holidays. (work hours may be further discussed during interview)

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
GS-07 grade level: One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Proficient in Business Office computer applications as they apply to the administrative processing of patients, to include use of the Automated Data Processing System, Patient Information management System and scheduling and admissions packages; experience in providing orientation, situational and technical advise to medical and clinical staff regarding administrative operational policy and procedures.
NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates & hours worked per week.
There is no educational substitution for the GS-07 level.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
