The incumbent provides administrative and personal assistance to the Chief of Credentialing & Privileging, Credentialing & Privileging Service, El Paso VA Health Care System (EPVAHCS), El Paso, Texas.
Duties
Major Duties:
Administration:
Ensures that all administrative requirements of the Credentialing & Privileging Service are handles correctly and that the clerical work is completed in proper format and on a timely basis.
Receives and reviews all incoming mail, making proper distribution and calling to the attention of the Chief any correspondence that requires immediate action.
Relays suspense dates and action items to sections and individuals under the Credentialing & Privileging Service and ensures timely tracking and abatement if needed.
Provides information and expertise needed to all personnel in the service, i.e., format, policy, etc., of all correspondence and written material.
Arranges meetings, and when necessary, reschedules meetings by advising concerned individuals, arranging mutually convenient times, and advising the supervisor of pending appointments, meetings, and other commitments.
Designs, develops and maintains various logs for keeping track of committee actions.
Reports Control:
Maintains a calendar for all, daily, weekly, monthly, quarterly and annual meetings as well as reports.
Maintain officials copies of the data, back-up material and addresses for such reports.
Establishes and maintains administrative files in accordance with RCS 10-1. Also maintains all Health Care System, VISN, and VACO policies, procedures and directives as needed for service operations.
Submits requests for travel, makes necessary travel arrangements and prepares expense reports upon completion of travel for the service.
Receives all telephone calls and personnel visitors to the service or staff.
Research & Documentation:
Acts as Record Liaison Officer for the Credentialing & Privileging Service.
Schedules and attends all staff meetings, makes reservations for meeting rooms, notifies participants, prepares agenda and final minutes of meetings for distribution in a timely manner.
Prepares organizational charts, graphs, materials for conferences.
Routine Clerical:
Takes directions and transcribes letters and memoranda; composes routine letters and memorandums for information to other staff members in the service, throughout the EPVAHCS, and to outside contacts.
Prepares work requests either electronically or by telephone and distributes them to the appropriate individual.
Serves as timekeeper for the service.
Handles and maintains a working level of forms as well as office supplies.
Responsible for typing letters of counseling, disciplinary as well as adverse actions for the service.
Uses word processing software to produce a variety of documents; uses database or spreadsheet software to enter, revise and retrieve data for standard reports; transmits, receives documents and messages electronically that are networked or linked to other computers and/or workstations through a central processing unit.
Work Schedule: Monday - Friday, 8:00 AM - 4:45 PM
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of routine and non-routine duties, priorities, commitments, policies and program goals of the service sufficient to perform assignments, such as reviewing directives, publications and other materials which may affect the office, and taking appropriate follow-up actions. Possess a practical knowledge of operations that sufficiently enable the employee to collect, compile correlate, and maintain production data from records, personnel, and computer sources. Skill in taking and transcribing notes and minutes by recordings that include familiarity with medical terminology, knowledge of correct grammar, spelling, punctuation; style, required format, etc. Ability to work with other staff in establishing and maintaining appropriate documentation. Knowledge in coordinating work within the office, advising staff in other units. Knowledge of a variety of administrative tasks and ability to coordinate with other individuals or services on preparation and submission of reports, conduct research and compile data. Knowledge required operating computer software programs. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school (TRANSCRIPT REQUIRED). OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond the first 60 semester hours (i.e., beyond the second year) to be creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. (TRANSCRIPT REQUIRED).

Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
