About the Position: Serves as personal secretary to the Chief Medical Officer and Chief Nursing Officer, whose primary purpose is to oversee a specific program segment within William Beaumont Army Medical Center (WBAMC).
Duties
Screen calls and visitors to the office referring to subordinate staff members and forwarding only those calls or visitors requiring the Chief Medical Officer and/or Chief Nursing Officer's attention.
Receive and provides assistance to visitors from other commands and agencies, making telephone calls, appointments, and other arrangements as necessary.
Maintain the calendar by scheduling appointments and making commitments to attend meetings, luncheons, etc., without prior approval.
Make airline and hotel reservations for trips coordinating all travel arrangements and typing or requesting all necessary orders, itineraries, etc.
Operate spreadsheet and word processing equipment and software in order to produce a variety of narrative and tabular materials, including correspondence, meeting minutes, and narrative reports.
Explain to subordinate Chiefs and/or Supervisors on nontechnical policies and procedures disseminated by the Chief Medical Officer and/or Chief Nursing Officer, after obtaining from the appropriate source.
Take minutes of the various committees chaired by the Chief Medical Officer and/or Chief Nursing Officer, coordinating information and preparing agenda as necessary.
Requirements
- Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.

Specialized Experience: One year of specialized experience whichwhich includes receiving telephone calls or visitors; scheduling meetings or appointments; coordinating or arranging temporary duty (TDY) travel; and utilizing office automation software, such as Microsoft Office, to prepare correspondences, reports, or other documents. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06).
Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this job, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.
Proficiency Required: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors.
