This position is located at the Clement J. Zablocki VA Medical Center, Milwaukee WI, in the Acute Care Nursing Inpatient Division and serves as a Lead Program Support Assistant (PSA) over at least three lower graded staff performing one grade interval work as Program Support Assistant, GS-0303-06. The employee provides administrative support in the Office of the Division Manager and performs clerical and assistant duties for the Nurse Program Managers.
Duties
Major Duties
Distributes and balances the workload among employees in accordance with established workflow or job specialization, assure timely accomplishment of the assigned workload, and assure that each employee has enough work to keep busy.
Keeps in touch with the status and progress of work and makes day-to-day adjustments in accordance with established priorities, obtaining assistance from the supervisor on problems that may arise, such as backlogs which cannot be disposed of promptly.
Estimates and reports on expected time of completion of work and maintain records of work accomplishments and time expended and prepare production reports as requested.
Instructs employees in specific tasks and job techniques and make available written instructions, reference materials and supplies.
Gives on the job training to new employees in accordance with established procedures and practices.
Maintains a current knowledge and answer questions of other employees on procedures, policies directives, etc. and obtains needed information or decisions for supervisor on problems that come up.
Checks on work in progress or spot check work not requiring review and reviews completed work to see that the supervisor's instruction on work sequence, procedures, method of deadlines have been met.
Amends or rejects work not meeting established standards, refer to supervisor questions or matters not covered by standard and problems in meeting performance standards.
Monitors working conditions such as seating, ventilation, lighting, safety, etc.; Informs employees of available services and employee activities.
Resolves simple, informal complaints of employees and refer others to supervisor.
Reports to supervisor on performance, progress, and training needs of employees, and on behavior problems.
Provides information to supervisor as requested concerning promotions, reassignment, recognition of outstanding performance, and personnel needs.
Work Schedule: Monday-Friday 7:00am-3:30pm

Physical Requirements: The work is predominantly sedentary with extended periods of sitting while operating a personal computer. Substantial standing and walking are required when using facsimile and photocopy machines, as well as the ability to bend, squat, reach, lift and carry light files. There is minimal likelihood of exposure to safety or environmental hazards.

Qualifications

Specialized Experience: You possess one (1) year of specialized experience that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of this position, and that is typically in or related to the work of this position. To be creditable, this experience must have been equivalent to at least the GS-5 level in the Federal service. Specialized experience includes: Arranging conferences/meetings appropriately, preparing reports of proceedings, as requested to maintain continuity in clerical support. Working with filing systems, office operations, references and manuals commonly used to file new material, destroy outdated/rescinded materials and to independently locate material for use. Working with personal computers (CPU, monitor, dot matrix and laser printers and software, including MIS (DHCP), word processing, graphics, and spreadsheet/database programs), and other equipment to produce and disseminate accurately prepared materials. Using proper grammar, spelling, capitalization, punctuation, medical terminology, and clerical procedures in or der to accurately type and proofread written materials. Possessing knowledge of the relationship of time and leave rules and regulations.
