Duties

This position is located at the Clement J Zablocki. VA Medical Center, Milwaukee, WI. (695) - a Level a1 Complexity VAMC Facility and organizationally aligned under the Surgical Care Division and functions as the Lead Program Support Assistant and timekeeper. Major Duties: -Provide administrative support to the Surgical Care Programs. Incumbent serves as Lead Program Support Assistant to the Surgical Care areas. -Leads a team of administrative employees working at the GS-5 and GS-6 level. Provides guidance and technical direction necessary for accomplishing the work of administrative support staff. -Serves as a work leader, assuring the work assignments of the program support staff in Surgical Care are carried out. -Distributes and balances the workload among employees in accordance with established workflow or job specialization, assure timely accomplishments of the assigned workload, and assure that each employee has enough work to keep busy. -Maintains a current knowledge and answer questions of other employees on procedures, policies, directives, etc. and obtains needed information or decision from supervisor on problems that come up. -Provide clerical support to the Surgical Subspecialties Programs. The program scope includes clinical care, OR, and surgical clinics. -Keeps appropriate documents and safeguards confidential record material. Ensures that files include all required documents. -Provides clerical assistance to the Division Manager and Administrative Officer, Surgical Care. -Bi-weekly performs as primary timekeeper for 196 Surgical Care Division employees. -Process quarterly VISN Part -Time Physician Audit based on direction from facility Chief of Staff office. -Reviews timecards on a concurrent basis and identifies problems in a timely fashion seeking out employees to resolve and correct problems. proactively -Educates employees on policies and procedures relating to timekeeping. Qualifications

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. GS-7 LEVEL GRADE REQUIREMENTS: One year of experience equivalent to at least the next lower grade level using the skills and equipment appropriate to the position to be filled is required for all positions. Following is a description of qualifying experience for these positions. SPECIALIZED EXPERIENCE: Must have one full year of specialized experience equivalent to at least the next lower grade level (GS-6) in the Federal service that equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position, and that is typically in or related to the position to be filled. Specialized experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. Specialized experience includes: In-depth understanding of all timekeeping policies and procedures for Surgical Care employees and the ability to identify errors and violations of these rules. Ability to explain and teach processes and procedures to Surgical Care employees in regard to timekeeping. Knowledge of gathering data and statistics for studies reports and surveys. Knowledge of office filing systems and various references and handbooks commonly used by staff in order to classify, search for, file and dispose of materials properly. Skills for clear oral and written communications and ability to revise correspondence minutes, etc., without changing their intent. Skills to plan, organize, and coordinate work effectively. Ability to effectively and skillfully perform medical administration duties and to orient and instruct professional staff in administrative clinical functions. You will be rated on the following Competencies for this position:CommunicationCustomer Service (Clerical/Technical)Interpersonal SkillsListening Proficiency Requirement: Must be able to type 40 words per minute. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Typically, the employee may sit to do the work. There is some walking, standing, bending, and carrying of light items.
