The VA Greater Los Angeles Healthcare System (GLA) is currently recruiting for a Program Support Assistant to work in Medicine Services Los Angeles, CA. The incumbent will provide detailed management and administrative support for the assigned divisional Team under the Medical Service.

Duties

Major duties include but are limited to: Collaborate with academic affiliates to ensure that fellows, residents, interns and students come onboard, depart, and complete the required documentation and training in a timely manner. Coordinate, monitor and gather Ongoing Professional Practice Evaluations (OPPE) and Focused Professional Practice Evaluations (FPPE) for credentialed providers. Serve as the primary Automated Data Processing Application Coordinator (ADP AC) and primary PIV sponsor for the supported sections and provide backup coverage to the Medical Service. Serve as Liaison with university affiliates to keep track of Resident, Fellow, and Student attendance and term cycles. Establish trainees' initial onboard schedules. Ensure trainees are properly in-­processed to the medical center to include attendance at orientation, get computer access, complete privacy checks for PIV, and obtain all initial mandatory training. Establish National Provider Identifier (NPI) for billing, assigns trainees to a primary provider, establishes time sheet and instructs trainees on time tracking. Ensure trainees get progress notes and evaluations reviewed as determined necessary by affiliated school. Acts as a liaison or handles the communication with persons and/or groups within the Medical Service and outside organizations. Maintains liaison and communications with persons and groups from both within and outside the Department of Veterans Affairs, speaking for the Medical Service on administrative issues. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/12/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: provide detailed program management and administrative support for the assigned Divisional Team provide a variety of principles, concepts, and methods such as organizing, coordinating, and planning. establishing processes/protocols regarding data management and operational controls. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. Incumbent performs work primarily sitting down, although position requires standing, stooping, walking, and bending when examining work areas and equipment. The work may also require some degree of minimal physical effort when obtaining/transporting/storing medical and administrative supplies and equipment. Operation of a computer and other office machines is necessary.
