This position is located in the Health Information Management Section (HIMS) of Health Administration Service (HAS) at the VA Medical Center (VAMC) in Huntington, West Virginia. The primary duties of this position are to maintain accessible records and provide efficient service for direct and indirect patient care by managing the receipt and scanning of health documents in a timely and accurate manner.

Work Schedule: Monday - Friday, 8:00am - 4:30pm
The incumbent performs duties related to the receipt, intake, and indexing of health and administrative information. The incumbent will interface with personal computer (PC) applications, DSS programs as well as numerous VistA applications. In this regard, the incumbent will index each scanned document into a SQL database which will be assessed via CPRS (Computerized Patient Records System) GUI tools. associate each scanned document with the correct patient's CPRS record, the appropriate TIU document, assign the appropriate document-named nomenclature, and electronically sign on chart scanned documents. Incumbent will review and and research numerous and voluminous medical reports from non-VA healthcare facilities making a determination as to which documents are to be scanned, and when necessary, obtain guidance from providers and/or CPRS Committee's guidelines. When records and reports are received, the incumbent will ensure that all necessary health/administrative information is integrated into VistA through PC scanning software. The incumbent must index this information using PC/VistA application bridges.
The incumbent will assist in training clinic staff in scanning key documents created on a concurrent basis.
Incumbent is required to assist in training staff members and assisting with tasks during job vacancies and employees' absences. Incumbent will take steps to resolve File Room issues such as lost records, urgent need for large record pulls for external reviewers and research purposes, and retrieval of old hard copy reports from multiple volumes of patients' records, etc. for patient care., research and to comply with medical information. The incumbent must be flexible in order to undertake a variety of miscellaneous.

You may qualify based on your experience and/or education as described below:
a. General Experience. General experience is progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled. You must at least one (1) year of general experience that has given me the particular knowledge, skills and abilities required to successfully perform the duties of this position. Must be able to type 40 words per minute. General experience can include but not limited to working with a personal computer (PC), copying and duplicating equipment; performing duties in reproduction and mail area to provide reproduction materials or general office duties. OR,
b. Education. To qualify based on education for this grade level you must have successfully completed at least two (2) years of education above the high school level. This education must have been obtained in an accredited business or technical school, junior college, college or university. One full year of full-time academic study is defied as 20 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school. (TRANSCRIPTS REQUIRED). OR,
c. Combination. Applicants may also combine education and experience to qualify at this level. You must have an equivalent combinations of successfully completed education and experience, as described above, which meet the total experience requirements for this grade level. To calculate, first identify the percentage of required education you have earned (when substituting, you cannot use the first 60 semester hours that you earned). Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-4 level. For example, an applicant who has 9 semester hours of graduate level education (i.e., 50% of graduate education required) and 6 months of creditable specialized experience (i.e., 50% of the required experience) would equal 100% of the required experience for the position). (NOTE: This education must have been obtained at an accredited college or university. If you select this option, you must submit a copy of your transcript with your application. Physical Requirements: The work is mostly sedentary; however work may involve considerable walking, standing and bending in the search for health records. There is lifting and carrying of bulky records and boxes, usually not to exceed 50 pounds. Pushing carts is routine for retiring records.
Work Environment: The work area is usually an adequately lighted, heated and ventilated office/medical facility setting. Paper dust and paper cuts may be encountered when working with paper health records. The work environment involves everyday risks of discomforts that require normal safety precautions.
