The incumbent serves as the Administrative Support Assistant to the Chief Nurse of Clinical Operations who oversees 14 specialty administrative programs within Patient Care Services including, Nursing Health Informatics, Patient Flow, Staffing Methodology, Falls, Safe Patient Handling, Mobility Programs, Education Services, Bed Control, Wound Care, House Supervisors 24/7, Float Pool, Escort Services,Bed/Wheelchair maintenance and Systems Redesign.
Duties
The duties of this position include, but are not limited to:
Input's data/information and retrieves data from Acustaf software to provide measurable desired outcomes throughout Patient Care Services.
Maintains the knowledge and expertise to educate and inform others on proper use of the Acustaf software, remaining point of contact.
Assists the Chief Nurse of Clinical Operations and the Resource Nurse Manager with coordinating interviews for potential new hires, providing information about programs, increasing awareness of opportunities, creating SF-52's for HR actions, and preparing board actions for the Nurse Professional Standards Board.
Assists with coordinating and planning of continuing educational or activities specific to Staffing methodology, Patient Flow, and recruitment for Patient Care Services. Extracts TMS Training Compliance Reports to keep Chief Nurse of Clinical Operations abreast of training deficiencies.
Maintains competency folders, schedules, and Time and Attendance records for all employee reporting to the Chief Nurse of Clinical Operations.
Maintains the FTEE Strength Report for Clinical Operations which includes 140+ FTE by validating vacancies, EOD dates, and reassignments.
Participates in the recruitment process in conjunction with all Nurse Managers within Clinical Operations.
Participates in Program staffing meetings and is responsible for recording minutes and tracking all administrative action items that stem from attended meetings/committees. Also acts as a liaison between those committees and the Chief Nurse of Clinical Operations.
Develops ADHOC administrative reports, audits, and surveys from VA and non-VA sources. Generates and presents, usually in written form, a wide range of data as required by the Medical Center Director, Associate Director, Chief of Staff, Nurse Executive, Deputy ADPCS, Chief Nurses, and others.
Maintains access to all T&L's, as the only position who can perform timekeeping in all services under Patient Care Service, supporting all Chief Nurses and Nurse Managers on timekeeping concerns.
Prepares a variety of materials including letters, memorandums, education requests, key requests, and space requests.
Schedule's appointments and meetings for the Chief Nurse of Clinical Operations. Initiates meeting agenda items based on action tracking log.
Screens incoming correspondence, publications, regulations and determines which items can be acted on and takes appropriate action.
Route's mail based upon the subject of the correspondence, knowledge of the functions of the individuals, and availability of staff to respond. Attaches the necessary background materials to items forwarded and includes suspense responses as necessary.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/11/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Collect, maintain, and summarize data for reports
Maintain time and attendance records
Enter and extract data from various databases
Summarize trend data collected from various sources
Create and maintain a variety of records both electronic and hard copy file systems.

Physical Requirements: Work is mostly sedentary; however, some walking, bending, stooping, minor lifting of office equipment and supplies will be required.
